Apostille vs notary: a notarized document is not automatically ready for another country. 🌍

These are two different steps. Mixing them up is one of the most common reasons documents headed abroad get delayed.

✍️ THE NOTARY
A commissioned notary public confirms who signed your document. That is the notary’s role.

🏛️ THE APOSTILLE
An apostille is a certificate issued by a state or federal government office. It authenticates the signature and seal so your document can be used in countries that are part of the Hague Apostille Convention.

🚫 A notary cannot issue an apostille.

📌 THE CORRECT ORDER

2️⃣ Apostille second

Vital records like birth certificates follow a different path. They need a certified copy from the issuing state.

Apostilles are not something to take shortcuts with.

I just spoke with a client who lives outside of Oklahoma and needs several documents apostilled, including an Oklahoma document. In situations like this, it is incredibly important that the apostille process is handled correctly from the beginning.

As a notary or apostille service provider, it is never in your best interest, or your client’s best interest, to submit documents under fraudulent pretenses. You are ultimately positioning yourself to potentially lose your notary commission, while also putting your client’s entire process at risk.

In this particular case, my client is working toward dual citizenship. Imagine paying someone to handle your documents, only to have your citizenship application denied because the apostille was obtained improperly. That is a risk no client should have to take.

Proper procedures matter. Experience matters. And knowing when a document can and cannot be apostilled is part of providing a professional service.
