When someone tells me they want to grow their business, I want to understand what that growth will actually give them.

More clients and a bigger team might be part of it. But what profit are we aiming for, and what will we need to invest to get there?

You might need to hire people, improve systems or add management support before the extra revenue arrives. Those costs need to be part of the plan.

I’d want to put that into a forecast so we can see what the next 12 months could look like, including how we’ll fund the investment and when we expect a return.

Then we need to keep checking it as things change.

For me, growth should leave you with a more profitable and valuable business. That’s the outcome I want us working towards.

Before committing to your next stage of growth, put the costs and expected financial result into your forecast.

November’s commitments belong in your cash-flow plan as well as your calendar.

Check which payroll tax and activity statement deadlines apply to your business, who is preparing the information and what payments need to be covered.

If your team handles the records and your accountant or BAS agent handles lodgment, make sure the handover date is clear too.

Melbourne Cup Day is also on 3 November, with public holiday arrangements applying in Victoria, subject to local variations.

Save this reminder for your November planning.

Before approving a pay rise, I’d want to understand how the business is performing.

In a business I recently started working with, a $10,000 pay rise had been approved around the same time that one part of the business was down around 40% for the quarter.

The pay rise may have been justified. What concerned me was that the owners didn’t have that financial information in front of them when they made the decision.

I understand how that happens. You’re busy running the business, supporting your team and answering questions that can’t always wait until the next reporting meeting.

That’s why someone needs to be reviewing performance regularly and bringing relevant information into those conversations.

As a fractional CFO, I want you to understand what a commitment means for the business before you make it.

Save this for your next salary review.

One finance person can end up being expected to cover three very different jobs.

As the business grows, the person handling payroll, invoices and reconciliations can also become the person you turn to for cash-flow management, reporting and advice on what to do next.

I’d want to look at whether they have the time, experience and support to cover all of that.

Your Finance Officer keeps the day-to-day work moving. Your Finance Manager oversees the financial operation. Your Fractional CFO helps you understand performance and plan where the business goes next.

Those roles work together, but each needs a clear focus.

That’s why we created Your Fractional Finance Team at The Pen Accounting. We build and manage the team around what your business needs, with CFO support when you need that financial leadership.

Which part of your finance function needs more support at the moment?

“Xero access has been granted” is a useful first step. It doesn’t tell the incoming team what needs attention on Monday.

Which invoices are being followed up? What happens at month-end? Who approves payments? Where are the outstanding questions?

A proper handover gives the team that context, so they can take responsibility for the work instead of spending the first few weeks piecing it together.

Save this for your next finance handover.

When did you last update your forecast?

You might have set a budget at the start of the financial year, but a few months in, things can look different.

A new client hasn’t started when you expected. Costs have increased. A planned hire has been pushed back.

I’d want those changes reflected in your forecast so you can see where you’re now expecting to finish the year.

Keep the original budget. We still need to understand how the business is performing against what you planned.

But before you commit to more spending, I want you working with the latest picture.

This week, compare your actual results with your budget and check what needs updating in your forecast.

You made a profit. But which part of the business actually earned it?

When I review a P&L, I want to understand how we arrived at that result.

One service might bring in plenty of revenue but cost much more to deliver than you realise.

Another might have a strong margin, yet receive very little of your time or attention.

I’d want to understand that before putting more people, money or marketing into either one.

Sometimes we need to break the reporting down further to see what each part of the business is contributing.

That’s where the conversation becomes useful. We can look at pricing, how you’re delivering the work and where it makes sense to grow.

For me, knowing you made a profit is the starting point. Understanding how you made it helps you decide what to do next.

Save this for your next P&L review.

Your bank accounts are reconciled. Great. Now, would you feel confident using this month’s reports to make a decision?

A tidy file is a strong starting point, but a useful report also depends on what’s been entered, how consistently it’s been recorded and whether someone has checked the result.

If you’re reviewing margins, projects or your next hire, those details matter.

Swipe through the four checks we’d make before relying on the numbers. Save them for your next monthly review.
