USPS Postmark Change May Impact Time-Sensitive Mailings

The United States Postal Service (USPS) has implemented a significant change to how postmarks are assigned. Previously, mail was postmarked on the date it was physically deposited with USPS. Under the new policy, the postmark will reflect the date the item is first processed by USPS—which may be one or more days after it is dropped off.

This change could have important implications for policyholders, agents, and carriers, particularly when payment timeliness is determined by the postmark date. In the past, many carriers accepted premium payments as timely if they were postmarked on or before the due date, even if received later. While some carriers may continue this practice, customers will no longer have certainty about the actual postmark date at the time they mail a payment. As a result, items mailed on the due date could be considered late.

The rule change also affects other time-sensitive documents traditionally accepted based on postmark date, including tax filings and government forms. A delayed postmark in these cases could lead to penalties, fines, or other consequences.

To help mitigate risk, customers may:

-Request a hand-stamped postmark at a USPS retail counter
--Use a printed postage label with a dated receipt
Send items via Certified or Registered Mail.

However, the most reliable solution is to mail payments and other deadline-sensitive documents well in advance of their due dates.
