Home Office & Mileage Deductions, Get the Recordkeeping Right
These are two of the most valuable small business deductions, and also two of the most commonly claimed incorrectly. ๐Ÿš—๐Ÿ
For the home office deduction, the space has to be used regularly and exclusively for business, not your kitchen table that doubles as a workspace some evenings. You'll need to track the square footage of the space and your total home square footage, plus keep records of related expenses like rent, mortgage interest, utilities, and insurance.
For mileage, "I drove a lot for work" won't hold up. You need a contemporaneous log with the date, business purpose, and miles driven for each trip, kept as you go rather than reconstructed later. Commuting from home to a regular workplace doesn't count, but driving between job sites, to meet clients, or for supply runs does.
The common thread with both: good documentation is what turns a deduction you're entitled to into one you can actually keep if you're ever asked to show your work.

The Real Cost of Worker Misclassification
Calling someone a "contractor" doesn't make it true, at least not to the IRS. ๐Ÿšจ
Misclassifying an employee as a 1099 contractor is one of the costliest mistakes a business can make. If the IRS or your state determines a worker was misclassified, you could be on the hook for back payroll taxes (both the employer and employee portions), penalties and interest on unpaid taxes, unemployment insurance contributions you should have been paying, and in some cases, back pay for benefits like overtime.
So how do you know which one someone is? It comes down to control. If you set their schedule, provide their equipment, direct how the work gets done, and they work exclusively for you, that likely points to employee, no matter what the contract says.
The good news: this is completely preventable with the right recordkeeping and classification review from the start.
Not sure if your current setup would hold up to scrutiny? Send us a message, we'll review it with you before it becomes an expensive problem.

1099 or W-2? How you classify employees changes what you need to track. ๐Ÿ“‹
For W-2 employees, you're responsible for withholding payroll taxes, tracking hours (for hourly workers), maintaining I-9 and W-4 forms, and issuing a W-2 at year end. You'll also need to stay on top of payroll tax filings throughout the year, not just at tax time.
For 1099 contractors, the recordkeeping looks different. You're not withholding taxes, but you do need a signed W-9 on file before you pay them, accurate records of total payments made throughout the year, and a 1099-NEC issued if you paid them $600 or more.
The biggest mistake we see? Businesses treating a contractor like an employee (set schedule, provided equipment, ongoing exclusive work) without realizing that misclassification can lead to real penalties from the IRS.
Not sure if your recordkeeping matches how you're paying people? Send us a message, we'll help you get it right before it becomes a problem.

Today's Business Mood โ˜•๐Ÿ’œ

It's the little things that get me through the day.

Today's setup includes my favorite coffee mug (an absolute necessity for bookkeeping ๐Ÿ˜…), cozy clothes, low lighting in our trailer (but glowy keyboard for the win), and the shades open just enough to enjoy the gloomy weather outside. ๐ŸŒง๏ธ

One of the perks of running a business is creating a workspace that works for you!

Professional doesn't always have to mean a suit and fluorescent lights.

Today, professional looks a lot like coffee, comfort, and journal entries. โ˜•๐Ÿ“Š

Got an IRS Letter in the Mail? ๐Ÿ“ฌ

Before you panic, take a deep breath!

Not every IRS notice means you're being audited or that you've done something wrong. Many letters are simply requests for information, identity verification, payment reminders, or corrections to discrepancies the IRS has identified.

The key is knowing:

1) What type of notice you received
2) Whether action is required
3) How quickly you need to respond
4) When it's time to seek professional help

Ignoring an IRS letter can lead to additional penalties, interest, and unnecessary stress. Understanding what the notice means can help you take the right steps and protect your financial future.

I recently put together a guide covering this topic!

๐Ÿ’กFriday Finance Tip๐Ÿ’ก

Reconcile your accounts weekly, not just monthly. Catching errors early (duplicate charges, missed transactions, or coding mistakes) is so much easier before they pile up!

โœ… Cleaner books
โœ… Fewer surprises
โœ… Easier month-end close
โœ… Problems fixed before they grow

A quick weekly check now can save hours of cleanup later.

Remember: small habits create strong financial systems!
