Job Description: Our firm is searching for a full-time, experienced, reliable, and task-oriented Administrative Assistant. This person will work directly with the firm’s Partners, Associates and Analysts and will be responsible for performing numerous administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks.
Job Objective: The right person will contribute to the efficiency of our firm by providing personalized and timely support to our team.
Reports to: Managing Partner
Essential Functions:
• Coordinate staff communications, including taking calls, responding to emails, and interfacing with investors, clients, and service providers.
• Schedule meetings and appointments.
• Manage, coordinate, and arrange staff travel and travel-related activities, including booking hotels and transportation.
• Off premises local travel to help coordinate office responsibilities.
• Coordinate personal tasks for partners.
• Maintain an organized filing system of paper and electronic documents.
• Uphold a strict level of confidentiality.
• Develop and sustain a level of professionalism.
• Act as the point of contact among partners, employees, clients, and other external partners.
• Keep up with office supply inventory, scheduling technicians to repair IT, and other office issues that arise, and by taking ownership of ensuring all internal and external partners and employees have what they need to be successful at their respective roles.
• Maintain contacts within our CRM system as directed by staff.
Competencies:
• Minimum of 2(+) years of experience as an Office Manager, Administrative and/or Executive Assistant.
• Friendly and professional demeanor.
• Impeccable integrity, trustworthiness, and discretion.
• Excellent verbal and written communication skills.
• Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
• Strong planning, organizational, and problem-solving skills.
• Self-directed and able to work without supervision.
• Teamwork and collaboration skills.
Work location: Our Firm’s office is in West Des Moines, Iowa. Amenities at our office include a work-out facility and Starbucks while also working in a new office space.
Required Education and Experience:
• Bachelor’s degree preferred, but not required.
• Experience managing multiple calendars.
• Experience booking travel.
Compensation:
• $20-25/ hour based upon experience
• Two weeks paid vacation, with allowable annual rollover of five days each calendar year; you will also be entitled to pay on the following holidays (or a floating day if the holiday falls on a weekend):
o New Year’s Day
o Memorial Day
o Independence Day
o Labor Day
o Thanksgiving Day
o The Friday following Thanksgiving Day
o Christmas Day
• Full time employees are eligible for a 401K plan, with 100% employer match, up to a 4% employee contribution.
