May is one of my favorite months of the year. šŸ“…šŸ„°

It’s that time of year when everyone just gives a huge sigh of relief!

Taxes are finally done (or at least extended šŸ˜…), spring has arrived, school is almost out, and cabin season is back. 🄳

My husband’s grandpa built a cabin ā€œUp Northā€ in the 1970s, and ever since then, weekends at ā€œThe Cabinā€ have been a family tradition. We all love going there… especially when we can spend time fishing, relaxing, playing games, and just being together. But getting ready for it is a lot of work.

There are clothes to pack (after checking the weather, of course!), meals to prep, fishing and swimming gear to load, kayaks to strap down, and somehow about a million things to double check before we leave. It’s exhausting before we even pull out of the driveway.

But then there’s this one glorious moment when I finally get to take a huge sigh of relief…

It's when we turn onto the highway and are finally northbound.

In that moment, everything is done. The bags are packed. The checklist is complete. The gas tank is full. Everyone is loaded up. And I can finally stop carrying all the mental weight of preparation.

I can physically feel myself relax.

And that feeling of peace and relief is exactly what I want my bookkeeping clients to experience most.

That’s actually one of the reasons I chose the name Northbound Bookkeeping. ā¤ļø

I want my clients to feel confident that everything is taken care of— transactions categorized, accounts reconciled, books ready for tax season— so they can stop worrying about QuickBooks after a long day and focus on the parts of their business (and life) they actually enjoy.

😫 Or... did it sneak up on you again, and turn into a last-minute scramble the week (or days!) before? 😬

But here’s something to think about…

Small business owners spend 20+ hours per week on bookkeeping, paperwork, and taxes.

Post-Tax-Season Advice from Accountants:

I asked a group of accountants, CPAs, and tax preparers one simple question:
ā€œWhat’s one thing business owners can do now to make next year’s tax season easier?ā€

Here’s what they said—see if any of these sound familiar! šŸ˜‰

šŸ‘‰ Use the right categories—and use them consistently.
Set up your expense categories based on your tax return (including any ā€œOtherā€ categories you typically need), and stick to them throughout the year. If you break things into subcategories, make sure they still roll up clearly. This keeps your Profit & Loss accurate and saves a ton of cleanup later.

šŸ‘‰ Track things as you go (not later).
This includes mileage, shared expenses like your phone or internet, and anything else that requires estimates or percentages. Trying to recreate this a year later usually means guessing—and that’s not ideal.

šŸ‘‰ Keep your books current.
Staying on top of your bookkeeping monthly prevents things from piling up and becoming overwhelming. Catching up on an entire year (like updating 2025 in early 2026) is stressful, time-consuming, and more prone to errors.

šŸ‘‰ Don’t guess—ask or flag it.
If you’re not sure how to categorize something, use an ā€œAsk My Accountantā€ account or reach out during the year. It’s much easier to fix things in real time than during tax season.

šŸ‘‰ Stay organized with loans and taxes.
Keep track of loan details (or at least save your year-end statements) so principal and interest can be properly recorded. Also, clearly track estimated tax payments and withholdings so nothing gets missed or double-counted.

šŸ‘‰ Leave notes and communicate changes.
If you make estimates, unusual entries, or have big changes in income or purchases, document it and let your accountant know. A little communication upfront can prevent big surprises later.

None of these are complicated—but doing them consistently throughout the year makes tax season so much smoother for everyone involved.

Do you absolutely hate messing with receipts?! 😠

Want to know how to take care of them in less than 2 minutes? 🤫

No, I'm not talking about just throwing them all into the trash!!! 🤣

I'm talking about using a receipt capture app. 🤯

Last week, I timed exactly how long it takes to use the receipt capture feature on my QuickBooks Online app... less than 1 minute & 15 seconds!!! (And most of that was actually just waiting for the app to open and load!!! šŸ˜†)

I also wrote down the exact steps for using this amazing feature in the app:

1) Open the QuickBooks Online mobile app (if you don't already have it, you'll obviously have to download it first!).

2) Sign in to your account.

3) Under "Quick Actions" at the top of the screen, click on "Snap Receipt". (You may have to allow your camera access if you haven't already.)

4) Write the purpose and any other important info on the actual receipt. ***This is a HUGE step that will save you (or your bookkeeper! šŸ˜‰) SOOO much time!!! If you have multiple projects, properties, departments, etc., this is the easiest way to keep track of where this receipt goes-- before you forget!!! šŸ˜‚

5) Snap a picture of the receipt.

6) Click on the ->.

7) Click "Use this photo" if it's a clear image.

8) Hit "Done" (or "Got it!")

Bam! Your receipt is now in QuickBooks ready for your review!!! 🄳

(Please remember to still file the receipt-- don't pitch it!!!-- in case of an audit. 😬)

Tax season doesn’t have to be stressful! 🤯

My main goal as a bookkeeper is to make my clients’ lives easier— and that absolutely includes making tax season less stressful. I do that by keeping their business financials up to date all year long. 🄰

Each week, I categorize my clients’ transactions in their accounting software, and every month I reconcile their accounts to ensure everything is accurate. We review the monthly reports together, identify any discrepancies, and make any necessary adjustments.

And we do this consistently, month after month. šŸ“†

So when January rolls around, their December books are already complete, and we can immediately shift our focus to tax-related tasks like 1099s.

In February, we review January’s numbers and take a final look at the previous year as a whole— making sure all income and expenses are properly accounted for and discussing any final adjustments. Most of the time, we’re able to give the tax preparer the thumbs-up to get started. šŸ‘

(Did you catch that… By FEBRUARY, we’re usually handing everything over to the tax preparer!!!) 😲

In March, we might answer a few questions or send over a couple additional reports. But because the heavy lifting was already done months earlier, it typically takes less than 10 minutes to provide what they need. That leaves plenty of time in our monthly meeting to review February’s totals and talk through goals or adjustments for the year ahead. ā°

By the time April arrives, taxes are almost a thing of the past! šŸ˜‚ There’s no last-minute scrambling because the work was handled proactively throughout the year. While we review March’s reports, I check in to see how taxes are going (or already went!) and offer any additional support if needed.

By May, taxes are wrapped up, and my clients can focus fully on growing their business— without stressing about catching up on the current year’s books. Why? Because while we were finalizing last year’s taxes, I was consistently maintaining their current books the whole time. šŸ˜‰

No, tax season doesn’t have to be a stressful, panic-inducing time every year! 🤪
