MTY Books MTY Bookkeeping Inc. Services for Interior Designers and Creatives

If your interior design clients think procurement just means ordering furniture, they're missing the full picture.

You're not just sourcing items, you're managing timelines, vendor issues, and delivery logistics from start to finish.

Procurement is access, coordination, and quality control, not a glorified checkout process. πŸ“¦

When you explain the service, focus on the value behind the scenes, not just the item being purchased.

If you're tired of justifying your fees, it's time to reframe the conversation around expertise, not markups. 🌿

Project profitability isn't just revenue minus materials. It goes much deeper than that.

True project profit accounts for design fees, material costs, contractor payments, every site visit, every revision hour, and every coordination call, all divided by total hours spent.

End of year reviews consistently show that the projects that felt the most successful were often the least profitable per hour. Knowing the number behind the number is what changes how you price and how you work. πŸ“Š

Three financial questions designers ask more often than you'd think, and the answers depend entirely on how your practice is structured.

Furniture bought for a client and charged back is a cost of sale, not a deduction. Items that stay in your studio may qualify as depreciable assets.

Design fees and materials are separate taxable supplies and need their own invoice lines. And a deposit received in one month doesn't automatically count as income for that month. Your accounting method determines when income is actually recognized. πŸ“Š

Getting these details wrong quietly distorts your financials over time.

If you're sourcing custom pieces and managing vendor relationships, precision is your best protection.

Vendors rely on your drawings and specs, and even a small error can turn into a costly surprise.

When pricing changes or something gets misquoted, you need clarity to know who's responsible. πŸ“‹

Sometimes you'll eat the cost to preserve the relationship, but that should never be your default.

Double check everything before you submit those orders to set yourself up to catch mistakes before they hit your bottom line. 🌿

Most designers price projects based on gut feel. That's where profit quietly disappears.

Confident pricing starts with knowing your cost of doing business, calculating your true billable hours, and matching your fee model to the project type.

Your design fee and your material markup are two different revenue types and should never be lumped together. And the best quotes don't come from guessing.

They come from actual data you've built from past projects. πŸ“Š

Swipe through this guide to see all five steps that put real numbers behind every quote you send.

August is one of the best months to get your finances in order before the year-end rush hits.

Three things every designer and architect should do this month. Review your work in progress and flag any milestone invoices that haven't been raised yet.

Chase any invoice past 45 days with a formal follow-up, not just a reminder. And book a mid-year tax review with your accountant while there's still time to act on the advice before December. πŸ“‹

Waiting until year-end to address these three things always costs more than dealing with them now.

If you're a full-service interior designer and clients push back on procurement fees, your contract didn't do its job.

All purchasing fees and budget terms should be clearly defined in writing before a single item is ordered.

That way, if there's ever a question, you're not negotiating - you're simply referring back to what was already approved. πŸ“‹

A strong contract removes confusion, protects your profit, and keeps client conversations on track.

If you're tired of defending your pricing, it's time to upgrade your agreements. 🌿

August is one of the most important months to check your finances before year-end. Most design practices make at least one of these five mistakes without realizing it. πŸ“‹

Slide through to see all five, starting with the invoicing habit that quietly distorts your cash flow, the change order mistake that costs you money on every variation, two more that affect your audit trail and tax position, and the one fix that ties them all together.

Every mistake in this series is fixable with the right systems in place.
