Quick check-in. 👀

The Q3 estimated tax deadline (September 15) just passed. If you're a business owner who pays quarterly, this is your reminder to actually check whether you made that payment — not just assume you did.

Missed it? Take a breath. Here's what to actually do:

1. Pay it now, don't wait for Q4. The penalty is based on how late the payment is — every day you wait adds to it. Paying today is cheaper than paying in December.

2. Don't guess the number. A quick gut-check with real numbers beats guessing and either overpaying (tying up cash you need) or underpaying (bigger penalty next time).

3. Figure out why it slipped. Was it a calendar thing, or do you not have a system telling you what's coming and when? That's the part worth fixing so this isn't a September scramble again next year.

One missed deadline isn't a crisis. It's just information — a sign to tighten up the system before Q4 (due in January) sneaks up too.

If you're not sure where you stand, that's exactly the kind of thing I can help you check. 🙌

Ask the Tax Pro 🎙️ — a question I get all the time:

"I work from my kitchen table, not a home office. Can I still deduct anything?"

Short answer: it depends on the setup, not the furniture.

The IRS doesn't care if it's a spare bedroom or a corner of your dining room — what matters is that the space is used regularly and exclusively for your business. If your kitchen table doubles as where your kids do homework and where the family eats dinner, that "exclusive use" part is what disqualifies it.

But here's what people miss: exclusive use doesn't have to mean a whole room. A dedicated desk, a converted closet, even a clearly sectioned-off corner can qualify — as long as that space isn't doing double duty for anything else.

If that's not realistic for your space right now, you're not out of luck. There are still other deductions tied to running your business from home worth looking at.

This is exactly the kind of thing that's easy to get wrong (or leave on the table) without someone checking your specific setup.

Client story time. 📈 (Details changed, message is 100% real.)

A client came to me paying quarterly estimated taxes based on a rough guess every time — no real system, just "how much did we make? okay, send that." Some quarters they overpaid by a lot. Other quarters they got hit with a penalty for underpaying. They had no idea which one was coming until it was too late.

We sat down, cleaned up their bookkeeping so their numbers were actually accurate month to month, and built a simple system for estimating what they'd owe before each quarter — not a guess, an actual number based on real data.

Six months later: no more penalty surprises, no more overpaying and waiting on a refund, and for the first time they could look at their bank account and know what was actually theirs to spend versus what was already earmarked for taxes.

That's the real win of good bookkeeping. It's not just "neater numbers" — it's knowing where you stand, before the IRS tells you.

If you're guessing your way through quarterly taxes right now, that doesn't have to be your normal. 🙌

Quick tip, save it for later. 📌

Snap it, don't stack it.

The second you get a business receipt — gas, supplies, a client lunch, whatever — take a photo of it right then, on the spot. Don't toss it in your bag, your car, or a "I'll deal with this later" pile.

Why it matters: paper receipts fade, get lost, or end up in the wash. A photo doesn't. And doing it in the moment takes 5 seconds — digging through six months of crumpled receipts later takes hours (and you'll still lose some).

Where to send them: a dedicated folder in your phone's photos, a scanning app like Google Drive or a receipt app, or straight into your Expenses folder if you've already set up the 3-folder system. Doesn't matter which — just pick one and make it automatic.

Small habit. Huge difference when tax season rolls around.

Let's clear this one up. 🛑

"I got a big refund this year!"

I hear this like it's a win every single tax season — and I get why it feels that way. But here's the truth nobody tells you:

A big refund isn't a bonus. It's YOUR money that the government held onto, interest-free, all year long.

That refund means too much was withheld from your paychecks (or you overpaid in estimated taxes) — money that could've been in your bank account, paying down debt, or invested and growing for the last 12 months. Instead, you gave the IRS an interest-free loan and they're just handing your own money back to you.

The actual goal isn't a huge refund. It's getting as close to $0 owed / $0 refund as possible — so you're keeping your money where it can work for you all year, and just settling up (not overpaying or underpaying) at tax time.

If you're consistently getting a big refund, it might be time to look at your withholdings or estimated payments. That's a conversation worth having — not a celebration.

Save this one. 📌

The #1 thing that turns tax season into a nightmare isn't your numbers — it's not having a system for your paperwork all year long.

Here's the 3-folder shortcut I have every client use:

📁 Folder 1: Income Every invoice, payment record, and deposit. If money came IN, it goes here.

📁 Folder 2: Expenses Every receipt, subscription, and business purchase. If money went OUT, it goes here.

📁 Folder 3: Everything Else Contracts, mileage logs, home office notes, anything you're not sure where to put. Better in this folder than lost.

That's it. Three folders (Google Drive, Dropbox, even a physical binder works) — drop things in as they happen, and by the time tax season rolls around you're not digging through your car console and email inbox for six months of receipts. You're just handing me three folders.

Set it up this weekend. Future-you will thank you. 🙌

Bookkeeping and tax prep aren’t the same—and your business needs both.

Bookkeeping keeps your day-to-day financial records organized: income, expenses, invoices, and payroll. Tax prep uses those records to accurately file your returns and plan for what’s ahead.

Clean books don’t just make tax time easier. They help you see cash flow, track profitability, and make confident business decisions all year long.

Need support with your books, taxes, or both? TDM Tax Services is here to help.

Let's talk bookkeeping for a minute. 📒

Bookkeeping is the ongoing tracking of your business's money — every sale, every expense, every dollar in and out — organized and categorized all year long, not just scrambled together at tax time.

At TDM Tax Services, bookkeeping is one of our core services, and it's built for business owners who:

— are tired of guessing where their money is going — want accurate, up-to-date numbers they can actually make decisions from — would rather focus on running their business than reconciling receipts — know tax time goes a whole lot smoother when the books are already right

If that sounds like you, bookkeeping might be worth having on your radar. No pressure, no pitch — just wanted you to know it's something we do, and why it matters.

More on how it works soon. 💬

"Wait... aren't bookkeeping and tax prep the same thing?" 🤔

Nope! And mixing these two up is one of the most common (and costly) misunderstandings I see business owners make. Let's break it down:

Bookkeeping is the ongoing, day-to-day tracking of your business's money — every sale, every expense, every dollar in and out, organized and categorized all year long.

Tax prep is what happens once a year — taking everything that happened in your business and turning it into an accurate tax return, filed correctly and on time.

Here's the part that trips people up: tax prep depends on bookkeeping. If your books aren't accurate and up to date, your tax return is basically being built on guesswork. That's how people miss write-offs they were owed, misreport income, or get hit with penalties for mistakes that were never caught until it was too late.

Bookkeeping only at tax time is like trying to write a 12-month story from memory in one sitting. Bookkeeping done all year is like having the whole story already written — tax time just becomes the summary.

If you've only ever thought about your numbers once a year at tax time, that's your sign to change that starting now. 💪

Drop a 🙋‍♀️ if you didn't realize these were two different things — you are definitely not the only one!
