πŸ’³ Friday Focus: What Should You Do When You Receive a Chargeback?

First: Don't panic. And don't ignore it.

When a chargeback occurs, Empire Pays provides chargeback notifications by email or traditional mail, depending on your notification preference. Your notification will provide important information about the dispute and the documentation needed to respond.

Once you receive your notification:

1️⃣ Review the reason for the dispute.
The reason code can help you understand what the cardholder or issuing bank is disputing.
2️⃣ Check the transaction.
Review the receipt, invoice, transaction details, and other records related to the sale.
3️⃣ Gather your documentation. πŸ“‹

Depending on the situation, this could include:

βœ”οΈ Signed agreements or receipts
βœ”οΈ Invoices and payment records
βœ”οΈ Proof of delivery or completed services
βœ”οΈ Customer communications
βœ”οΈ Refund or cancellation policies
βœ”οΈ Other relevant transaction details

4️⃣ Pay attention to the response deadline. ⏰
Chargeback responses have specific timeframes. Don't wait until the last minute to gather your documentation.

5️⃣ Submit a clear, organized response.
Focus on the documentation that directly addresses the reason for the dispute and supports why the transaction should be considered valid.

6️⃣ Ask for help if you need it.
If you're unsure what documentation is needed or how to respond, reach out to Empire Pays. We're here to help you understand the process and navigate the response.

And here's the most important takeaway:

A chargeback isn't the time to start looking for documentation.

The stronger your records are before the dispute happens, the better prepared you are when you need to respond.

πŸ“Œ That's why prevention, proper payment procedures, and good recordkeeping matter.

πŸ’³ Wednesday Spotlight: Payment Links & Invoicing

Create a Better Transaction Trail

When customers aren't standing in front of you to pay, how you collect the payment matters.

SwipeSimple and the Deluxe Payments Platform give merchants convenient ways to send electronic invoices and payment links for remote payments.

These tools can help merchants:

βœ”οΈ Clearly document what the customer is being billed for
βœ”οΈ Provide customers with payment details before they pay
βœ”οΈ Keep invoices and transaction information organized
βœ”οΈ Collect payments remotely without requiring the customer to be at the business
βœ”οΈ Create a clearer record of the transaction

For equipment rentals, contractors, service providers, and other businesses that regularly accept remote payments, electronic invoicing and payment links can be especially useful.

And as we discussed Monday, when a transaction is disputed, having clear records can be important. A well-documented transaction gives you more information to work with when responding to a chargeback.

SwipeSimple and Deluxe Payments Platform are just two of the payment solutions available through Empire Pays. We can help you choose the right tools based on how your business actually accepts payments.

πŸ’³ Merchant Minute Monday: Chargebacks 101

You've probably heard the term β€œchargeback,” but what actually happens when one occurs?

A chargeback begins when a cardholder disputes a transaction through their card-issuing bank. The bank then reviews the dispute through the card network's established process, and the merchant is given an opportunity to respond.

Here's the important part:
A chargeback is a dispute, not automatically a determination that the merchant did something wrong.

The outcome depends on the reason for the dispute, the applicable card network rules, and the information provided by both sides.

For merchants, chargebacks can mean lost revenue, additional fees, administrative work, and time spent gathering documentation and responding to the dispute.

That's why understanding the chargeback process and knowing how to respond when one occurs is an important part of protecting your business.

❀️ Friday Focus: Protecting Your Business Shouldn't Have to Be Expensive

As a business owner, you already have enough expenses to worry about.

Processing fees. Equipment. Payroll. Insurance. Rent. Taxes.

PCI compliance is another important responsibility, but that doesn't mean you should have to overpay for it.

At Empire Pays, we partnered with MAXpci so we can provide our merchants with a PCI compliance program that includes the tools and support they need, while keeping the cost as low as possible.
We work hard to pass our preferred pricing along to our merchants, including competitive annual compliance and non-compliance-related costs.

More importantly, you're not left to figure it out alone. MAXpci provides support by phone, email, and live chat to help merchants through the compliance process.

We believe transparency isn't just about your processing rate. It's about every part of your payment processing relationship.

That's the Empire Pays difference.

Transparent pricing. Personalized service. Real support.

πŸ”Ž Wednesday Spotlight: MAXpci

PCI compliance can seem complicated β€” especially when you're trying to run a business at the same time.

That's why Empire Pays partners with MAXpci, a PCI compliance company that specializes in supporting Level 3 and Level 4 merchants.

Through our partnership, our merchants have access to tools and support designed to make the compliance process easier, including:

βœ”οΈ Simplified PCI compliance questionnaires
βœ”οΈ Vulnerability scanning options
βœ”οΈ Compliance reporting
βœ”οΈ Helpful reminders and notifications
βœ”οΈ Support by phone, email and live chat

And because we know small businesses have enough expenses already, we work hard to offer our merchants some of the most competitive PCI compliance pricing available.

We don't believe PCI compliance should be unnecessarily complicated, or unnecessarily expensive.

That's one more thing we take off your plate.

πŸ’³ Merchant Minute Monday: PCI Compliance

If you accept credit cards, PCI compliance is part of protecting your customers' payment information and your business.

But what exactly is PCI compliance?

PCI DSS (Payment Card Industry Data Security Standard) is a set of security requirements designed to help businesses protect payment card data. It applies to merchants of all sizes, although the specific compliance and validation requirements can vary depending on how you accept payments and your processing environment.

PCI compliance isn't just about checking a box once a year. It's about taking reasonable steps to protect payment information and reduce the risk of a data breach.

And here's something many business owners don't realize: You don't have to figure it all out by yourself.

At Empire Pays, we partner with MAXpci to provide our merchants with PCI compliance support, tools, and guidance, at pricing we work hard to keep affordable.

PCI compliance may be required. Paying more than necessary for it doesn't have to be.

Have questions about your PCI compliance? We're happy to help!

πŸ’³ Merchant Minute Monday: Why Rates Vary

One of the most common questions I hear is:

"Why does another business pay a lower processing rate than I do?"

The answer isn't always straightforward.

Every business processes a different mix of debit cards, credit cards, rewards cards, and commercial cards, and each card type has its own interchange cost. Your industry, average transaction size, and how you accept payments also play a role in determining your overall processing rate.

That's why comparing your rate to another business can be misleading.

Instead, ask yourself:
βœ”οΈ Do I understand the fees on my statement?
βœ”οΈ Is my processor explaining my pricing clearly?
βœ”οΈ Am I paying a fair rate for my business?

At Empire Pays, we believe transparency starts with helping business owners understand why they're paying what they pay.

Whether you process with us or not, every business owner deserves straightforward answers and a clear explanation of their processing costs.

The goal isn't to have the lowest rate, it's to know you're paying the right rate for your business.

πŸ’³ Merchant Minute Monday: Understanding Your Monthly Statement – Part 2

Last week, we reviewed the main sections of a merchant statement.

This week let's take a closer look at where your processing fees actually go.

If you're on a traditional Interchange Pass-Through Plus pricing program (like Empire Pays offers), you'll typically see three main categories of charges:

βœ… Interchange Fees
These fees are established by the card networks and paid to the bank that issued your customer's credit card. They are non-negotiable and typically make up the largest portion of your processing costs.

βœ… Card Brand Assessments
These are small fees established by the card brands (Visa, Mastercard, Discover, and American Express) to support their payment networks. Like interchange, these fees are the same regardless of which processor you choose.

βœ… Discount Rates
This is your payment processor's compensation for providing your merchant account, payment technology, reporting tools, security features, customer support, and ongoing account management.

πŸ” Traditional Pass-Through vs. Enhanced Pass-Through
At Empire Pays, we refer to pricing models that include additional processor markups beyond a traditional Interchange Pass-Through Plus program as Enhanced Pass-Through pricing.

While these programs may still be marketed as "Interchange Pass-Through," they often include additional processor fees throughout the statement, making it more difficult to determine exactly what you're paying your processor.

With a traditional Interchange Pass-Through Plus program, it's much easier to distinguish:
β€’ What is paid to the card brands and issuing banks
β€’ What is paid to your payment processor

πŸ’‘ Empire Pays Transparency Tip

Interchange and card brand assessment schedules are publicly available through the card brand websites. If you ever have questions about these rates, you can verify them directly with the card brands, or simply reach out to us. We're always happy to explain how they apply to your business.

At Empire Pays, we believe every business owner should know what they're paying, who they're paying, and why they're paying it. That's what transparency is all about.

πŸ“ž Have questions about your statement? Send us a message. We'll review it with you at no cost and with no obligation.
