Why Do I Have to Complete a PCI Self-Assessment Questionnaire With a Merchant Account

—but Stripe, Square or PayPal May Seem Easier?

It's a question I hear from business owners:

“Why does my merchant account ask me to complete an SAQ when I never had to do this with an aggregator?”

Here's the important part:
Using an aggregator does NOT automatically eliminate your PCI DSS responsibilities.
The Self-Assessment Questionnaire (SAQ) is one method eligible merchants use to validate that they're following the PCI DSS security requirements applicable to the way they accept payments.

Why Does a Traditional Merchant Account Ask for It?
Your account is individually underwritten.
Your processor/acquirer may require you to validate PCI compliance directly.
Your payment environment matters.
In-store terminals, virtual terminals, e-commerce, stored card data and other acceptance methods can result in different PCI requirements and SAQ types.
It's about identifying vulnerabilities.
The process can help uncover security practices that need attention before they become expensive problems.

What About Stripe, Square & PayPal?
Aggregators can simplify portions of PCI compliance because much of the payment infrastructure may be handled within their controlled environments.
But “simplified” doesn't mean “exempt.”
Your responsibilities depend on how your business accepts, handles, stores and transmits cardholder data.

Think of the SAQ Differently
Don't look at it as:
“Why is my processor making me do more paperwork?”
Look at it as:
“What am I doing to make sure my customers' payment data—and my business—are protected?”

The Bottom Line
PCI compliance isn't about who processes your payments.
It's about protecting the payment environment.
Whether you use a traditional merchant account or an aggregator, don't assume PCI security is somebody else's responsibility.

Protect the cardholder.
Protect your merchant account.
Protect your business.

Put on the MATCH™ / TMF List? Don’t Panic—You May Still Have Options.

Finding out your business has been placed on Mastercard’s MATCH™ list—historically referred to as the Terminated Merchant File (TMF)—can make obtaining a new merchant account significantly more difficult.

Why Are Merchants Added to MATCH?
Excessive chargebacks
Fraud-related activity
Card-brand rule violations
Identity or application issues
PCI DSS or data-security problems
Other qualifying termination events

What Should You Do?

Find Out Why
Contact the processor/acquirer responsible for the listing.
Request the specific MATCH reason code and as much written information as they can provide.

Challenge an Incorrect Listing
If information was reported incorrectly or circumstances qualify for correction, gather supporting documentation and work with the reporting acquirer on the appropriate review process.

Find an Experienced Provider
MATCH doesn't automatically mean there are no processing options. Depending on the reason code, business type, risk profile, and underwriting requirements, specialized solutions may be available.

Fix the Underlying Problem
Reduce chargebacks, strengthen fraud controls, improve refund policies, maintain PCI compliance, and keep accurate business records.

Think Long Term
MATCH records generally remain for five years, although circumstances for removal or correction can vary. Use that time to strengthen your risk profile and processing practices.

What NOT to Do
Don't try to circumvent MATCH by hiding ownership, using someone else's identity, or misrepresenting your business. That can make an already difficult situation worse.

Been MATCH-listed or repeatedly declined for merchant services?
Let's have a confidential conversation and evaluate the path forward.

The right strategy—and the right merchant services partner—can make a difference.

Your Payment Terminal Was Stolen. Now What?

A stolen credit card terminal isn't just missing equipment—it can become a payment security, cash-flow, and customer-trust issue.

If your terminal disappears, act immediately:

1. Contact Your Merchant Services Provider
Report the device stolen and ask what steps are needed to disable or decommission it and secure your account.

2. File a Police Report
Document the theft. Your processor, insurance company, or other parties may request a copy.

3. Review Transaction Activity
Check recent and pending transactions for anything unusual and report suspicious activity promptly.

4. Secure Your Payment Environment
Change relevant passwords or credentials, review user access, and follow your provider's security guidance.

5. Inform & Retrain Your Staff
Determine how the terminal disappeared and reinforce procedures for securing payment devices.

Prevent the Next Theft
Use secure or lockable terminal stands
Limit device access to authorized employees
Inspect terminals regularly for tampering or replacement
Use surveillance around payment areas where appropriate
Secure portable terminals after business hours
Keep an inventory of device models and serial numbers

The Bottom Line
Your payment terminal is part of your payment security—not just a piece of hardware.
The faster you respond to a missing or stolen device, the faster you can protect your merchant account, customers, cash flow, and reputation.
And this is exactly when having a dedicated merchant services contact matters.

If your terminal disappeared today, would you know exactly who to call?

It's Business Continuity Season! Are Your Merchant Account "Decorations" Up?

Businesses prepare for holidays, hurricanes, outages, and busy seasons—but have you decorated your payment strategy for the unexpected?

Your merchant account should be prepared to keep your business accepting payments and generating revenue when something goes wrong.

Here's your Business Continuity decorating checklist:

Disaster Recovery Lights — What's your backup if your internet, power, POS, or primary payment channel goes down?

Fraud Protection Garland — Are fraud controls, transaction alerts, and chargeback tools protecting your revenue?

Cash Flow Ornaments — Can customers still pay through alternatives such as ACH, mobile payments, payment links, or a virtual terminal?

Contingency Wreath — Do you have a backup payment solution ready instead of scrambling after an outage?

Policy Stockings — Does your staff know what to do during disruptions, refunds, disputes, suspected fraud, and other payment emergencies?

The Best Gift? Business Continuity.
The goal isn't simply to have a merchant account.
It's to build a payment strategy that helps your business keep getting paid when Plan A isn't working.

Don't wait for an outage, hurricane, cyberattack, or equipment failure to discover your backup plan isn't ready.
Get your Business Continuity decorations up before you need them.

Because when your primary payment method goes down, your revenue doesn't have to go down with it.

What Is Your Business Reputation Worth?

Your Customers Trust You With Their Payment Information.
A single data breach can cost far more than money.
It can cost you your reputation.

The Real Cost of Failing to Protect Customer Data
Costly fines and penalties
Termination of your merchant account
Loss of your ability to accept credit cards
Damaged customer confidence and lost business

Small Businesses Are Prime Targets
Cybercriminals don't just target large corporations.
Small businesses are often viewed as easier targets because they typically have fewer security resources.

Every business that accepts credit cards has a responsibility to protect customer payment data.
5 PCI DSS Best Practices Every Business Should Follow
1. Segment Your Network
Keep your payment processing systems separate from your primary business network whenever possible.
2. Restrict Access
Only employees who need access to payment information should be able to view or handle it.
3. Monitor Transactions Daily
Review merchant activity every day to quickly identify unusual transactions or suspicious behavior.
Early detection can prevent much larger problems.
4. Secure Your Devices
Keep software up to date
Use firewalls and antivirus protection
Physically secure payment terminals
Apply security patches promptly
5. Stay PCI Compliant
PCI DSS compliance isn't just about avoiding penalties.
It's about protecting your customers, your revenue, and the reputation you've worked so hard to build.

As your merchant services partner we help businesses:
Maintain PCI compliance
Reduce fraud
Protect customer payment data
Build stronger, more secure businesses

AI Chatbot Scams: Smarter Technology. Smarter Scams.

AI is helping small businesses work faster—but cybercriminals are using the same technology to make scams harder to spot.
For businesses accepting credit cards, one convincing message could put your customer data, bank accounts, payment systems, and revenue at risk.

How AI Scams Target Businesses

Fake Websites & Chatbots — A convincing support bot may ask for login credentials, payment information, or sensitive business data.

AI-Generated Phishing — Scammers can create polished emails impersonating banks, vendors, shipping companies, technology providers, or other trusted organizations.

Better Social Engineering — AI can make fraudulent messages sound professional, personalized, and believable—often without the spelling and grammar mistakes we once associated with phishing.

What's at Risk?
Stolen passwords & credentials
Compromised payment accounts
Financial losses & fraudulent transactions
Customer or business data breaches

Protect Your Business
Be skeptical—even when a message looks professional.
Slow down when there's unusual urgency or pressure.
Don't blindly trust links, QR codes, or chat windows.
Verify sensitive requests through a known, trusted channel.
Never provide passwords or one-time verification codes to an unsolicited requester.
Train employees to recognize phishing and social engineering.

Remember:
AI can make a scam more convincing.
It doesn't make it legitimate.

STOP. VERIFY. THEN ACT.

Protect your customers.
Protect your payment environment.
Protect your revenue.

Your technology matters—but a well-trained team remains one of your strongest lines of defense.

The Shock Factor: Don't Take the Bait!

Cybercriminals know one thing:

People make emotional decisions before they make logical ones.
That's why some of today's most successful phishing attacks don't rely on sophisticated hacking—
they rely on fear, urgency, and panic.
If they can get you to react emotionally...
They've already won.

The "Shock & Urgency" Scam
Scammers are experts at creating fake emergencies designed to make you act before you think.
You may receive messages like:
"Fraud Detected on Your Bank Account!"
"Your Password Has Been Compromised!"
"Your Package Has Been Suspended!"
"Your Payment Was Declined!"
"Legal Action Will Be Taken Immediately!"

How They Trick You
Cybercriminals combine two powerful tactics:
Fear
Urgency
When emotions take over...
Critical thinking disappears.
That's exactly what scammers are counting on.

It's More Than Just Email
These scams can arrive through:
Phishing Emails
Text Messages (Smishing)
Phone Calls (Vishing)
Social Media Messages
Fake Websites
No communication channel is immune.

How to Protect Yourself
Before clicking anything, STOP and ask yourself:
Was I expecting this?
Does this request make sense?
Is this how this company normally contacts me?
If something feels off...
It probably is.

Red Flags to Watch For
Unexpected attachments
Requests to verify passwords
Demands for immediate payment
Requests for gift cards
Wire transfer instructions
Poor grammar or unusual wording
Pressure to "Act Now"

Best Practices
Verify unexpected requests by calling a known phone number—not the one in the email.
Never open unexpected attachments.
Don't click links from unsolicited messages.
Never send money using gift cards, cryptocurrency, or other unusual payment methods.
Report suspicious messages to your IT department or security team.

Never let urgency make your decisions.

How Cybercriminals Bypass Your Email Security

Think your email security has you completely protected?

Think again.
Gmail, Outlook, Microsoft 365 do an excellent job filtering millions of malicious emails every day.
Many businesses also invest in spam filters, firewalls, and endpoint protection.
Yet phishing attacks continue to succeed.

Here's how they get through.

1. They Abuse Trusted Websites
Modern email filters are designed to block known malicious websites and attachments.
Cybercriminals know this.
Instead of hosting malware on suspicious websites, they often use trusted platforms
Never assume a link is safe simply because it points to a trusted website.
If you weren't expecting it, verify it before clicking.

2. They Target People—Not Computers
Some of today's most successful phishing attacks contain:
No attachment
No malicious link
Instead, they rely on social engineering—manipulating people into taking action.
Common examples include:
An email that appears to come from your CEO
A request from your accountant
A vendor asking you to update payment information
A customer requesting an urgent refund

3. They Create Urgency
Scammers want you to act before you think.
Urgency is one of the oldest—and most effective—cybercriminal tactics.

Before You Respond, Ask Yourself...
Was I expecting this email?
Does this request seem unusual?
Is this how this person normally communicates?
Can I verify this through a phone call or another trusted method?
Taking 30 seconds to verify could save thousands of dollars.

Technology Helps...
But People Make the Difference.
No email filter catches every attack.

Technology is your first line of defense.
People are your last.

Your instincts may be the best cybersecurity tool you have.

08/24/2026

Is Your Cybersecurity a Cardboard Wall?

Your payment system may look secure—but without strong cybersecurity and PCI DSS compliance, your business could be more vulnerable than you realize.

For businesses accepting credit cards, a cyberattack isn't just an IT problem.
It's a payment, cash-flow, and reputation problem.

What's at risk?

Data Breaches — Stolen customer and payment data can create financial and reputational damage.

Fraud & Chargebacks — Compromised systems can lead to fraudulent transactions, disputes, and higher chargeback ratios.

PCI Compliance Issues — Failure to meet PCI DSS requirements can expose your business to additional costs, penalties, and processing consequences.

Customer Trust — Customers expect you to protect their information. Once that trust is lost, earning it back can be difficult.

Business Disruption — Ransomware, malware, or account takeovers can interrupt operations and your ability to accept payments.

The Bottom Line
Don't protect your business with a cardboard wall.
Strong cybersecurity + PCI compliance + secure payment technology create layers of protection around your customers, merchant account, cash flow, and reputation.

The cost of prevention can be small compared with the potential cost of a breach.
Protect the payment.
Protect the customer.
Protect the business.

Why Do You Buy a Shovel?

You don’t really want a shovel.

You want the hole.

The same applies to merchant services. You’re not buying credit card processing—you’re choosing a solution that should help your business get paid faster, operate smarter, and keep more of what you earn.

The right merchant account can give you:

Faster Funding — Improve cash flow with faster access to your sales.

More Ways to Get Paid — In-store, online, mobile, invoicing, payment links and recurring billing.

Less Friction, More Sales — Make it fast and convenient for customers to pay you.

Smarter Cost Management — Optimize processing costs instead of chasing an advertised “low rate.”

Fraud & Chargeback Protection — Reduce unnecessary holes in your cash flow.

Better Business Intelligence — Use integrated reporting to understand your payments and make smarter decisions.

The Bottom Line
You’re not buying payment processing.
You’re buying the result.
Faster payments.
Better tools.
Fewer headaches.
More control.

Just like the shovel, the tool matters—but the result is what you’re really paying for.
