Old Checks Still Affect Your Books

A check written six months ago may still appear as outstanding if the vendor never deposited it.

That does not mean it can be ignored.

Old outstanding checks should be investigated. The vendor may need a replacement, the check may need to be voided, or the payment may have been recorded twice.

Leaving it alone keeps your cash balance wrong.

The Owner Should Not Be the Accounting System

If every invoice, payment, payroll question, and vendor issue has to pass through the owner, the business does not have a bookkeeping process.

It has an owner-dependent bottleneck.

A good system creates clear responsibilities, documented steps, and reliable information without requiring the owner to remember everything.

Clean Books Make Financing Easier

Banks do not want a verbal explanation of how well the business is doing.

They want current financial statements, consistent revenue records, clean balance sheets, and support for the numbers being presented.

Preparing for financing starts months before you submit the application.

Accounts Receivable Has an Expiration Date

An invoice that is five days late is a reminder.

An invoice that is 45 days late is a collection issue.

An invoice that is 120 days late may be a bad debt.

Reviewing accounts receivable every month helps you address slow payments while there is still a realistic chance of collecting them.

Change Orders Need Their Own Paper Trail

Construction margins often disappear through change orders that were approved verbally, completed quickly, and invoiced late.

By the time the project closes, the additional labor and materials are in the books, but the additional revenue is not.

A consistent change-order process protects both the project margin and the customer relationship.

The Mystery Deposit Problem

A deposit appeared in the bank account, so it was recorded as income.
The problem? It was actually a transfer from another business account.
Recording transfers as revenue makes the business look more profitable than it is. It can also create a tax problem if nobody catches the mistake.
Every deposit needs to be identified, not guessed.

Prepaid Service Revenue
Pool service, landscaping, pest control, and similar recurring service businesses have a specific bookkeeping trap. Customers prepay for a quarter or a year, and that money often shows up as revenue the day it lands.

It shouldn't. Prepaid service is a liability on your books until you deliver the service. Otherwise you're paying tax on money you technically haven't earned yet and your monthly P&L looks lumpy for no good reason.

Payroll That Runs Itself
If you run payroll yourself and it takes more than 20 minutes per pay period, something in your setup is off. Electronic time tracking that feeds into payroll software takes the manual entry out entirely.

The employees clock in and out, the hours sync over, you review and approve. We've seen owners save three hours a week just by connecting two systems that were already paid for.

Foreign Contractors Coded Wrong
A client hired a virtual assistant overseas, paid them $40k last year, and didn't issue any forms because they weren't a US contractor. That part is actually correct. Foreign contractors get W-8BEN, not 1099.

But the $40k was categorized as "office supplies" in QuickBooks, which is not a thing. When you mix up expense categories, your financials become decorative. They look like data but they don't tell you anything useful.

Agent Deductions
Real estate agents, your 1099 from the brokerage doesn't include all your deductions. Desk fees, MLS fees, marketing, signage, continuing education, mileage, and part of your phone all come off before you pay tax on what's left. Agents who don't track these spend the year overpaying Uncle Sam.
