𝗧𝗶𝗺𝗲 𝗠𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁 𝗳𝗼𝗿 𝗟𝗲𝗮𝗱𝗲𝗿𝘀: Optimizing Efficiency and Effectiveness
The hallmark of exceptional managers is their efficiency and effectiveness. It's crucial to aim for continual improvement in these areas, as there's always room to enhance how we manage our time. By maximizing time usage, tasks become more enjoyable and productive.
Four Key Strategies for Effective Management:
Delegate Wisely: Spend 95% of your time on tasks that generate income and delegate the rest. If you don't have a support team, consider hiring an assistant. Focus on hiring, training, motivating, and holding accountable individuals who can handle tasks better than you. Empower your team and avoid becoming a bottleneck.
Plan Proactively: Dedicate 2–3 hours every Sunday to plan your entire week in detail. Schedule every phone call, meeting, and task, ensuring a clear roadmap for the upcoming weeks. This proactive approach minimizes the need for daily decision-making.
Avoid Overcommitment: If a task isn't on your schedule, don’t commit to it. Learn to say "No" or "Let me check my schedule" instead of immediately agreeing to new requests. This approach helps manage expectations and prevents overextension.
Regular One-on-One Meetings: Hold scheduled personal conferences with each team member rather than relying on an open-door policy. This allows you to address issues proactively, maintaining focus on your primary tasks.
Key Income-Producing Activities (IPAs) for Sales Managers:
Conduct recruitment interviews and manage your team.
Provide ongoing sales training.
Continue personal sales efforts.
Run weekly team meetings and training sessions.
Monitor team statistics and send out recognition emails.
Hold regular one-on-one performance reviews.
Implement and enforce performance plans.
Actively seek new recruiting candidates.
Golden Hours: Maximizing Productivity
Working smart means utilizing the most productive times of the day. Schedule "Golden Hours" for focused work without interruptions. Prepare a list of top prospects, eliminate distractions, and concentrate solely on high-priority tasks during these periods.
Planning with Priorities:
Categorize tasks into "Rocks" (must-do), "Pebbles" (should-do), and "Sand" (if-time-allows). Schedule high-priority tasks first, batch similar activities, and ensure sufficient time is allocated to income-producing activities.
Delegation:
Hire and train assistants to take over tasks that don’t require your direct involvement. Empower them to solve problems and handle responsibilities independently. Regularly review their progress and provide constructive feedback.
Action Steps:
Share your weekly schedule with your coach and team.
Maintain a time log for 21 days to identify areas for improvement.
Develop a plan to delegate more effectively.
