A client called me last week genuinely confused; their books showed a solid profit but their bank account was nearly empty. They thought something was wrong with them.

I used to dread explaining financial statements to business owners running their books in spreadsheets.

Not because the numbers were hard; because their eyes glazed over the second I said 'balance sheet.'

So I stopped explaining it like an accountant.

I started explaining it like a detective.

I've noticed that the business owners who struggle most with cash flow aren't bad at their work. They're just bad at following up on unpaid invoices; usually because they can't see them clearly.

When your open invoices are all in one place; sorted, visible, showing exactly what's been paid and what hasn't; following up stops feeling awkward and starts feeling routine.

You can see who owes you. You can send a reminder in a few clicks. You can share the invoice link directly.

Chasing money you've already earned shouldn't take half your Tuesday. Clean invoicing makes it a five-minute task.

I'll be honest; when I first ran into a beginning balance that refused to reconcile no matter what I did, I assumed the journal entry was wrong and just kept redoing it.

It wasn't wrong. Not even close.

The real problem was a reconciled transaction sitting in the bank registry with an R on it from a prior period; silently pulling the starting balance off.

Once I cleared it back to blank, the journal entry did exactly what it was supposed to.

Nobody tells you that trick upfront. Learned it the hard way so you don't have to.
