QBO quirk we see constantly: the Undeposited Funds account.
When payments aren't matched to the right bank deposit, this account quietly piles up — and your reports show income that doesn't match what actually hit your bank. Business owners often don't even know this account exists until their numbers stop making sense.

Cash basis or accrual — do you know which one your books are actually running on?

Cash basis shows money as it moves in and out. Accrual shows income and expenses when they're earned or owed, even before the cash changes hands.

For a growing service business, this matters more than it sounds. Accrual gives you a truer picture of profit — cash basis can make a slow month look great (or a great month look slow) just based on timing.

That's a question we hear over and over again on discovery calls. And almost every time — yes, it's normal. Books fall behind when a business is busy growing. Categories get messy. Reports stop matching what you feel is actually happening in your business.

"Reconciled" doesn't just mean the numbers matched once.
It means every transaction in your bank account is accounted for in your books — no missing deposits, no duplicate entries, no mystery differences. When your books are truly reconciled, your QuickBooks balance and your actual bank balance tell the same story, every single time.
A lot of business owners think reconciling is just clicking "match" until the green checkmark shows up. But a real reconciliation catches things like duplicate transactions, missing entries, and errors before they snowball — which is exactly the kind of thing we found in last week's post about credit card payments getting recorded twice.

QuickBooks Online quirk we see in almost every DIY set of books: credit card payments getting recorded twice.

Trigger: You pay off a credit card from your bank account
Recorded in QuickBooks Online: add it as a payment to your credit card and an expense to your bank account.
Result: Now that same payment is sitting in your books twice, quietly inflating your expenses and throwing off your real numbers. And chances are this happens every time you make a credit card payment. So your bank balance quietly drops to a negative and your credit cards look like you overpaid them.

It's not a sign you did something wrong — QuickBooks' transfer logic isn't intuitive unless you work in it daily. It's one of the very first things we check in a diagnostic review.
