We are looking for an energetic, organized and articulate self-starter to provide administrative and sales assistance duties for an established financial advisor.

Our company is looking for someone that is organized and detail-oriented, serving as a primary point of contact for our clients. They're responsible for understanding recorded financial transaction information on individual (IRA, Roth IRA, Investment) and group retirement accounts such as 401(k) plans as well as providing client follow-up verbally and in writing. A positive attitude is required to build and maintain strong client relationships and to be successful as a cross-functional, internal team member. Also, being a great listener with clients allows the admin/sales assistant to ensure our clients are being offered the appropriate services. This position is a combination of financial investment services, oversight and ongoing communication with current and prospective clients.

Duties & Responsibilities:

Provide proactive client contact, prompt and accurate responses to questions with high-energy and enthusiasm to increase client retention, loyalty, and new business opportunities
Serve as first point of contact for problem resolution
Send out client communication on a regular basis, schedule recurring client reviews and follow-up appointments. Client communication is done via phone, email, and business letters.
Complete forms and applications for the advisor to review prior to submission
Prepare paperwork for client reviews and enrollments
Daily follow-up to ensure that all statements, financial transactions, and forms are processed in a timely manner
Run daily/weekly/monthly exception reports and act upon needed corrections
Maintain and update client records
Work with clients, legal, and compliance departments to ensure that tools are administered in compliance with applicable documents, contracts, laws, and IRS regulations
Review & propose projects/processes to enhance efficiency
Exercise initiative to assist with multiple projects and helping wherever needed

Experience:

Experience in financial services 1-2 years required
Bachelor’s degree preferred
Attention to detail, strong time management skills, highly organized, ability to work well with others, able to multi-task and a desire to learn
Client and service focused to achieve timeliness and accuracy
Flexibility and agility to shift priorities, cross-train and contribute to individual, team and company priorities
Strong business ethics & personal integrity
Excellent communication skills, both verbal and written
Microsoft Office Suite experience including strong skills in Excel, Word, and Outlook to include mail merges/labels. Salesforce or other client management software.

Job Types: Full-time, Part-time

Pay: $15.00 - $20.00 per hour and determined by relevant experience.
