The Letter on the Kitchen Counter
Mateo looked at the envelope. It sat on his kitchen counter next to the coffee maker, innocent and terrifying. It was from the Social Security Administration. Or maybe it was Medicare. To be honest, Mateo wasn’t sure anymore.
He had coverage. He had signed up online two years ago, clicking boxes until a confirmation screen appeared. He thought he was done. He thought he was safe.
But then the pharmacy told him his inhaler wasn't covered. Then came the letter about a "late enrollment penalty." Mateo did what most people do. He called the 1-800 number on the back of his card. He listened to smooth jazz.
He waited. He pressed 1 for English. He pressed 4 for claims. He waited some more. When a voice finally answered, it belonged to a stranger in a call center a thousand miles away who read from a script and used words like "formulary tiers" and " tier deductibles."
Mateo hung up. He felt smaller. He felt alone. He had insurance, but he didn't have help.
The Turning Point was When Mateo found me, he was ready to cancel everything.
He brought a shoebox of paperwork to my office and dumped it on the desk.
"I need a new plan," he said. "This one is broken."
I looked through his papers. I looked at his medications. I checked the networks.
"Mateo," I told him. "Your plan isn't broken. It’s actually the perfect plan for you.
You don't need to buy anything new. You just need a co-pilot."
This is the secret most enrollees don't know: You don't have to face the government alone.
The Agent of Record Solution Mateo thought he had to pay me a consulting fee to fix his mess.
He reached for his checkbook. I told him to put it away.
I explained that insurance carriers allow you to designate an Agent of Record.
It is a simple concept. You keep the plan you like. You keep the doctors you trust.
But you add my name to the file.
That’s it!
By 3-way conferencing with his carrier for 5 minutes, Mateo unlocked my entire office.
He didn't spend a dime. But suddenly, he had access to:
• My Expertise: I navigated the penalty issue with Social Security for him.
• My Technology: We loaded his prescriptions into my office software to track his costs.
• My Voice: The next time a confusing letter arrived, he didn't call the 1-800 number. He called me.
The Result Mateo is at ease now.
The letters still come, but they don't scare him.
He knows that if he has a question, he has an advocate.
He went from being a number in a database to being a client with a partner.
