I talk to contractors all the time where a key employee spends half a day—or sometimes an entire day—just getting payroll done.

And it’s easy to understand why.

Different employees are working at different job sites.

They may have different pay rates.

Then there’s timekeeping, union reporting, certified payroll, and all the paperwork that comes with it.

That’s a lot of administrative work every single week.

But your payroll company should be helping eliminate that work.

At Baron Payroll, we help construction companies automate the process—from collecting employee time and processing payroll to preparing certified payroll and union reports.

A process that used to take hours could potentially take an hour or less.

Now think about what that means over an entire year.

If you save several hours every week, multiply that by 52 weeks.

More importantly, think about the employee who gets those hours back.

What else could that person be doing for your company?

How about collecting outstanding receivables and putting money in your bank account?

That’s the difference between simply having a company that processes payroll and having a payroll company that helps your business operate more efficiently.

Your payroll company shouldn’t just pay your employees.

It should give your best people time back to work on the things that actually grow your business.

💲 Use Baron Payroll’s Instant Price Calculator to see how affordable better construction payroll can be—and how much time you could save every single week.

Here’s something many business owners don’t know.

The U.S. Department of Labor has a free app employees can use to keep their own records of the hours they work.

They can track when they start, when they stop, breaks, and overtime.

Now imagine this:

Your foreman writes down “8 hours” every day.

Your employee has their own records showing they actually worked longer.

Then that employee files a complaint.

Whose records do you think are going to become part of the conversation?

And here’s where things can get expensive.

A Department of Labor investigation may expand beyond one employee. Investigators can examine the employer’s broader timekeeping and payroll practices.

A few unpaid minutes might not seem significant today.

But multiply that time by multiple days, multiple employees, overtime premiums, and potentially years of records.
It can add up quickly.

What you thought were profitable jobs could potentially contribute to hundreds of thousands of dollars in back wages, damages, and other costs.

The time to fix your records isn’t after an investigator asks for them.
Don’t guess at time. Track it accurately.

Baron Payroll gives businesses detailed timekeeping and payroll records that can help create a clear audit trail.

Because when someone asks what happened years ago, good records beat good memories.

Good morning, business owners ☕

About five minutes ago, I got another email from HR professionals trying to sign me up for a webinar on the Department of Labor's rules around employee vs. contractor classification.

They're saying the same thing we've been saying for a while: you need to cover yourself.

If a worker is misclassified, you could be looking at a DOL investigation — and then back pay, IRS penalties, and F**A liability on top of it.

So here's the question worth asking yourself this morning: Do you have ITIN workers or people currently classified as 1099 subcontractors who might actually meet the legal definition of an employee?

If the answer is yes (or even "I'm not sure"), give us a call. We help construction business owners get ITIN workers properly set up as W-2 employees — so you're not the one holding the bag when the rules catch up.

If a plumbing company client just had their best quarter in years and is now calling you nervous about cash — you're not missing something on their books.

There's a real, predictable reason this happens with construction and trades clients:

Costs land first. Revenue lands later.

Trucks, tools, parts inventory, licensing, and a bigger payroll to cover more jobs — all of it gets paid out weeks before the money from those jobs actually clears. The more successful a client gets in the short term, the wider that gap can stretch.

Stack that on top of rising workers' comp premiums (plumbing gets classified as a higher-risk trade) and the hours owners spend on payroll and compliance paperwork after the workday ends, and it's easy to see why "our best quarter ever" can still feel like a cash crunch.

None of this shows up cleanly as one line item. It compounds.
If you've got a plumbing client whose cash looks tighter than their performance suggests, it might be worth a conversation before it becomes a bigger issue — not a bookkeeping fix, but a payroll and HR setup built for how trades businesses actually operate.

Do you employ Spanish-speaking workers?

Here’s something many business owners don’t think about until there’s already a problem.

Employment attorneys advertise directly to Spanish-speaking workers with questions like:

“Are you being paid off the books?”

“Are you working overtime without being paid for it?”

You may never even see those advertisements.

But your employees might.

One employee calls. Other employees get involved. And suddenly, you could be dealing with a wage-and-hour claim that potentially costs six figures or more.

That’s when one question becomes very important:

What do your records prove?

It’s one thing for payroll records to say an employee was paid for 40 hours.

It’s much stronger to have detailed timekeeping records showing when that employee actually worked.

Clocked in: 7:38 AM.

Clocked out: 4:22 PM.

Hours recorded. Wages calculated. Payroll processed.

With Baron Payroll, those detailed time records can even appear on the employee’s pay statement, creating a clear record for both sides every payday.

Because if there’s a disagreement two years from now, you don’t want to rely on someone’s memory.
You want records.

Don’t guess at time. Document it. Pay it correctly. Create the audit trail.

You have an employee handbook. But can you prove every employee received it?

That distinction matters more than many business owners realize.

When an employee dispute comes up, you don’t want to say:
"We gave everyone the handbook."

You want to be able to prove it.

Maybe all your employees signed acknowledgments when the handbook was originally created.

But then you hired someone six months later.

And another employee three months after that.

Did they receive the handbook? Did they acknowledge it? Do you have the documentation?

Baron Payroll can help automate the entire process.

We’ll help create your updated employee handbook, distribute it to employees, collect acknowledgments, maintain the records, and make sure new employees receive the handbook going forward.

For a company with fewer than 50 employees, less than $2,000 can cover your new handbook, employee acknowledgments, and the entire first year of ongoing service.

Starting in month 13, ongoing service is only about $100 per month.

Documentation problems are much easier—and much less expensive—to fix before there’s an employee complaint, audit, or investigation.

Don’t wait until there’s a problem to discover what’s missing.

Do it proactively. Baron makes it simple and affordable.

Do you have Spanish-speaking employees—but you don’t speak Spanish?
Think about how much time gets wasted when an employee has a payroll question and needs someone else to translate it.
A pay statement. Onboarding information. Payroll records. Employee handbook information.
Someone in your business has to stop what they’re doing and explain it.
Your payroll system should be solving that problem—not creating it.
With Baron Payroll, employees can access payroll information in their preferred language. One employee can use English while another employee uses Spanish.
The result?
Fewer questions. Less confusion. Less translating. And a better experience for your employees.
Baron Payroll supports Spanish and seven other languages, giving businesses with multilingual workforces a much easier way to communicate important payroll information.
Your employees shouldn’t have to speak English to understand their paycheck.

So here's something I saw in the news recently — one of the big accounting platforms just rolled out payroll on their platform.

Naturally, I had to ask: can they handle ITINs?

No, they can't. And that's not unusual. A lot of the big-box providers just aren't set up that way. If you've got workers with ITINs — which, if you're in construction, you probably do — you might find yourself turned away, with no help getting compliant.

We built Baron to handle this. SSNs, ITINs, doesn't matter. One system, one process, fully compliant.

Had a CPA tell us about a client this week who almost lost a construction project.

The client was on a certified job and needed more workers on-site. The problem? Those workers only had ITINs, not Social Security numbers. He called a few of the bigger payroll providers. All of them said no — they couldn't add ITIN workers as W-2 employees.

Without those workers on payroll, they couldn't legally stay on the job.
He found us. We could add them, get them compliant, and keep the project moving. The client didn't blink at the price difference — losing the job would have cost far more than the payroll fee ever could.
If you're a CPA with construction clients, this is worth knowing before it becomes urgent.

I've sat across the table from a lot of construction business owners over the years. Almost none of them set out to shortchange their crew on overtime.

But I've seen plenty do it anyway, without ever realizing it.

Here's the thing — overtime in construction isn't just "hourly rate times 1.5." Multiple pay rates across job sites, bonuses that need to factor into the math, travel time between sites, a supervisor title that doesn't actually meet the exemption test — any one of these can quietly turn into a Department of Labor finding you didn't see coming.

I've watched it happen. It's never the owner trying to cut corners. It's the math nobody warned them about.

If you haven't looked hard at your overtime calculations or classifications lately, I'd rather you find the problem than have an auditor find it for you. It's always cheaper to catch it yourself.

I wrote up the specifics — the regular rate calculation, the travel time rule, the classification trap — here: https://hubs.ly/Q04tF0xL0
