When you reach the end of an accounting period, you need to "close the books."

At a minimum, you will close your books annually because you have to file a tax return every year, and you should prepare annual financial statements as well.

Here's a simplified guide for small business owners:

1. Review all your transactions. Ensure all entries are accurate and categorized correctly.

2. Reconcile all your accounts. Match bank statements with your records for accuracy.

3. Create adjusting entries. Make any necessary adjustments for accruals or prepayments.

4. Generate income statement and balance sheet. Ensure your records are tax-ready for the upcoming season.

By closing your books on a regular basis (monthly, quarterly, or annually), you can ensure the statements from the previous reports do not affect the current terms, which could produce an inaccurate report on the state of your business accounts.
