A common misconception among business owners is seeing high revenue and assuming that’s cash straight in their pocket.

“I did a million dollars this year!”

That’s exciting… but it doesn’t tell the whole story.

A business can easily have:

▪️Sky-high revenue

▪️Razor-thin profit

▪️Negative cash flow

and still struggle to meet payroll on Friday.

Here’s how you actually need to break down the numbers:

▪️Revenue tells you how much work you sold.
▪️Profit tells you how much of that work actually made money.
▪️ Cash Flow tells you if you can actually pay your bills today.

I’ve seen contractors land record-breaking years and still sweat over cash because they focused entirely on top-line sales instead of margins and cash management.

Scaling your business isn’t just about doing more work. It’s about doing the right work, at the right margin, while protecting your bank account.

Why Isn’t My Paycheck an Expense?

One of the most common questions I get from business owners is:

“If I paid myself, why isn’t it on my Profit & Loss?”

The answer surprises a lot of people.

When you’re a sole proprietor or single-member LLC, you and your business are legally separate for bookkeeping, but not for income tax purposes.

That means your owner’s draws aren’t considered a business expense.

Think of it this way…

Imagine your business made $150,000 this year.

You decide to transfer $80,000 to your personal bank account throughout the year.

Did the business become less profitable because you moved the money?

No.

The business still earned $150,000.

You simply moved some of those profits from the business account to your personal account.

That’s why owner draws appear on the Balance Sheet (as equity), not on the Profit & Loss.

Your Profit & Loss answers:

“How profitable was the business?”

Your owner’s draws answer:

“How much of those profits did the owner take home?”

Understanding that difference helps you make better decisions, prepare for taxes, and truly understand your business’s financial health.

One word:

Overhead.

A lot of business owners only calculate the direct costs of a job:

Materials
Labor
Subcontractors

But your business has expenses whether you’re working on a job or not.

Think about things like:

• Office rent
• Insurance
• Vehicle payments
• Fuel

• Phones
• Accounting
• Payroll taxes
• Equipment
• Licensing
• Marketing

Those costs have to be covered too.

If they aren’t built into your pricing, you can stay busy all year and still wonder why your bank account never seems to grow.

That’s why job costing is about much more than adding up labor and materials.

Why I Started For The Record Bookkeeping

People often ask me why I started my own bookkeeping business.

The answer isn’t because I love spreadsheets.

It’s because, after more than 10 years in construction accounting, I kept seeing the same problem.

Hardworking business owners were working nights, weekends, and doing everything they could to grow their businesses…yet they still weren’t confident in their numbers.

They weren’t sure which jobs were actually profitable.

They didn’t know if their pricing covered their overhead.

They were making decisions based on their bank balance instead of reliable financial information.

That never sat right with me.

I started For The Record Bookkeeping because I believe every business owner deserves more than organized books.

You deserve financials that help you make smarter decisions, grow with confidence, and finally understand where your business stands.

That’s what drives me every day.

One of the biggest misconceptions I see with construction business owners is this:

“We’re slammed with work, so we must be making good money.”

Unfortunately, that’s not always the case.

A full schedule doesn’t automatically mean healthy profits.

Every day your business has costs that keep adding up:
