As September wraps up, take a few minutes to review your group's coverage before fall activities pick up speed. Check your renewal date, and if your board changed over the summer, make sure the right officers are listed on your policy. And if a venue ever asks for proof of coverage, it's much easier to have a certificate of insurance ready than to scramble for one at the last minute.

Your band or orchestra booster club may raise money through concert concessions, spirit wear, and program sales. That popcorn machine, cooler, cash box, and unsold inventory belong to your club, not the school, so they aren't covered by the school's insurance. Business personal property coverage protects the equipment and inventory your booster club owns from theft, fire, and vandalism.

New school year, new round of fundraisers. Before the money starts moving, make sure your group meets the two conditions of your embezzlement insurance policy: an annual audit by a review committee or qualified accountant, and monthly bank statements reviewed and signed by someone without check-signing authority. This coverage replaces funds stolen by anyone your group trusts with money, whether it's a treasurer, president, or volunteer. Miss either one, and your claim may be denied.

Still building your volunteer list for the year? September is prime recruiting season. Ask new families directly. They're often more willing to help than you'd expect; they just need to be asked. When you do ask, be specific: describe each role and how much time it takes, so people can see exactly where they'd fit in. And once someone signs on, a little recognition, a shout-out at a meeting or in the newsletter, goes a long way toward keeping them engaged all year.

On Constitution Day, it's worth remembering that your PTA or PTO bylaws work a lot like a constitution; they set the rules for how your group runs: officer duties, elections, committees, and how funds are handled.
