A refund is a handshake. A chargeback is a mugging.

When a customer is unhappy, the cheapest outcome is the one most merchants fight hardest: just refund them. A $40 refund costs you $40. If that same customer goes to their bank instead, you lose the $40, the merchandise, and a chargeback fee on top — plus one more strike on your account. Too many strikes and the processor shuts you down entirely. That's the tsunami nobody sees coming.

So make refunds easy: a clear policy at the register, staff who are allowed to say yes, money back on the original card. You won't win every customer back — but you'll keep the account that serves the rest.

Your processor just froze your money. Don't make the next move worse.

Do this instead. One calm call: get the exact reason and the exact document list. Send one clean package — invoices, proof of delivery, bank statements that match. And keep fulfilling orders. A merchant who keeps delivering looks like a business; one who stops looks like a problem.
