Running a business is hard enough without worrying about your bookkeeping. After owning my own business for 13 years, I know how easy it is for bookkeeping to get pushed to the bottom of the to-do list. QuickBooks is getting smarter—but that doesn't mean you should let it make all the decisions. 😉

QuickBooks has been rolling out more AI features, and if you use the bank feeds, you may have noticed some changes.

AI can definitely save time, but there are a few things every QuickBooks user should know:

💳 Your bank feed isn't your books.
Just because a transaction downloads from your bank doesn't mean it's automatically recorded correctly in QuickBooks. It still needs to be reviewed.

🔗 MATCH means QuickBooks thinks the transaction already exists.
Maybe you entered an expense, recorded a payment, or created an invoice that was later paid. Matching connects the bank transaction to what's already in QuickBooks instead of creating another transaction.

📁 CATEGORIZE means you're adding a new transaction.
You're telling QuickBooks what that transaction was for and which account it belongs in.

🤖 And then there's AI.
QuickBooks may suggest a category or match based on what it knows about the transaction and your previous activity. Sometimes it's right.

And sometimes...not so much. 😂

That's why I always recommend reviewing the transaction before accepting the suggestion.

Think of the bank feed and AI as helpful assistants. They can save you time and make bookkeeping easier—but you're still the one responsible for making sure what's going into your books is correct.

Because clicking Accept is easy.

Figuring out months later that dozens of transactions were categorized incorrectly? Not quite as easy. 😉

So the next time QuickBooks confidently tells you where a transaction belongs, take an extra second and ask yourself:

Do I know that's correct—or am I trusting QuickBooks because it looks right?..

When your bookkeeping is kept up to date, you don't have to wonder where your money went, whether you can afford that next big purchase, or scramble to get everything together when your tax preparer asks for it.

Good bookkeeping gives you a clearer picture of what’s actually happening in your business.

Here are a few ways it can help:

📚 Know where your business stands.
Organized, up-to-date books make it much easier to see what you're bringing in, what you're spending, and how your business is really doing.

💰 Keep an eye on cash flow.
Knowing what's coming in and going out helps you plan ahead instead of being caught off guard by upcoming expenses.

📊 Make better business decisions.
Accurate financial reports give you real numbers to work with when you're deciding whether to spend, save, grow, hire, or make changes.

🧾 Stay ready for tax time.
Keeping accurate records throughout the year means less scrambling when it's time to hand everything over to your tax preparer.

🏦 Be prepared when you need financing.
If you're applying for a loan or other financing, having clean, accurate financials ready to go can make the process much easier.

⏰ And maybe the biggest one—get some of your time back.
You started your business to do what you do best. You probably didn't start it because you couldn't wait to spend your evenings categorizing transactions and reconciling bank accounts. 😉

Your bookkeeping isn't just something that needs to be done. When it's done well, it's a tool that can help you understand your business and make better decisions about where you're going next.

🚗 Heads up, small business owners!

The IRS has increased the standard business mileage rate from 72.5¢ to 76¢ per mile, effective July 1, 2026.

Although the IRS announced the change on July 13, it's retroactive to July 1, 2026. If your business uses the IRS standard mileage rate, now is a great time to update your records and reimbursement process (if applicable) to reflect the new rate.

It's a small change, but keeping up with updates like this can help you stay organized and avoid headaches down the road.

If you use QuickBooks Online, there are a few simple features that can save you time and help keep your books more organized.

✔️ Set up bank rules to automatically categorize recurring transactions.

✔️ Sort your bank feed by payee or description to review similar transactions more efficiently.

✔️ Use the QuickBooks mobile app to snap photos of receipts while you're on the go.

✔️ Save your favorite reports, like your Profit & Loss, Balance Sheet, or Cash Flow report, so they're always just a click away.

✔️ Schedule management reports to be emailed automatically, making it easier to stay on top of your business finances.

But here's my favorite tip...

Remember that QuickBooks is just a tool.

The real value comes from keeping your books accurate and understanding what your numbers are telling you. That's where many business owners start to feel overwhelmed—and that's okay.

You don't have to spend hours watching tutorials or trying to figure everything out on your own. Sometimes the best use of your time is focusing on the work you love while someone else takes care of the bookkeeping.

Do you know one reason business owners miss out on tax deductions?

It usually isn't because they're trying to do something wrong. Most business owners are busy serving customers, managing employees, and keeping their businesses running. Bookkeeping often gets pushed aside until tax season rolls around.

A few reasons deductible expenses can get overlooked:

✔ Expenses weren't tracked consistently

✔ Receipts were lost or never saved

✔ Personal and business purchases were mixed together

✔ Transactions were categorized incorrectly

✔ The books were never reviewed for accuracy

Keeping your books organized throughout the year helps ensure your tax professional has accurate information to work with when it's time to prepare your return.

If you've noticed I've been a little quieter here over the past several months, I wanted to share why.

In October, I was diagnosed with breast cancer. Since then, I've gone through surgery, appointments, treatments, and recovery.

While my focus shifted to my health and healing, one thing never changed—my commitment to my clients and Western Chick Bookkeeping. Some days looked different than others, but I continued showing up, caring for my clients' books, and keeping their businesses moving forward.

I'm grateful to share that I am now cancer free 🩷 and recently received more good news—I won't need radiation treatments. I still have targeted therapy infusions ahead, but I'm feeling stronger and looking forward to returning to a more regular routine.

This experience has reminded me how important it is to have support when life throws the unexpected your way. I'm thankful for my family, friends, clients, and everyone who has offered prayers, encouragement, and understanding throughout this journey.

Western Chick Bookkeeping is still here, and so am I.
