Sometimes You Need to Step Back to See Clearly

My trip to Ireland was more than a vacation. It was a chance to step out of my normal routine and take stock of my life and my business.

I’m sorry I went quiet without letting you know I was stepping away. Like many business owners, I was so busy finishing the work in front of me that communicating with everyone else slipped down the list.

Between visiting family, seeing familiar places, and enjoying the beauty of the Emerald Isle, I remembered something important:
Sometimes the best way to move forward is to pause first.

Contractors are especially good at pushing through—one more estimate, one more jobsite problem, one more late-night call.
But pushing harder is not always the answer.

Try asking yourself:
• What should I stop doing?
• What should I continue doing?
• What needs to change before the business grows again?

You do not need an international flight to answer those questions.
A quiet morning and an honest look at the numbers can do wonders.
Although a scone in Ireland certainly doesn’t hurt. ☘️

I’m Back—and I Owe You an Explanation

I have been quiet here for about a month, and I owe my followers a little apology.

First, client projects became very busy. Then I took two wonderful weeks off and traveled to Ireland—the Emerald Isle where both of my parents were born.

I spent time with my brothers, sisters, and cousins, laughed until my sides hurt, and came home feeling genuinely renewed. I attached a few pictures of the coast of Di**le, Ireland.

Here is today’s business tip for contractors: Give yourself permission to step away.

Rest is not a reward you earn only after every item is crossed off your list. If you wait for that day, you may never pack the suitcase!

A break gives you room to think, reconnect, and remember why you are building the business in the first place.

It's not because we're trying to be difficult.

Most owners want:

If you're a contractor doing job costing, have you built your processes yet?

Every missing worksheet has a cost.

Every undocumented labor charge has a cost.

Every job with incomplete information has a cost.

The problem is that the cost usually doesn't show up until months later.

It shows up when:

❌ Gross profit is wrong
❌ Estimates are inaccurate
❌ Cash flow gets tight
❌ The owner can't explain why revenue is growing but profit isn't

I'm helping a contractor improve job costing right now.

Before we can trust the financial reports, we first have to trust the information feeding the reports.

The biggest obstacle to job costing isn't QuickBooks.

It's consistency.

I recently reviewed a construction company's data before integrating AccuLynx with QuickBooks.

What I found was familiar:

One employee entered job names one way.

Another entered them differently.

Some worksheets were completed.

Some weren't.

Some invoices matched the supporting documents.

Others didn't.

Everyone was working hard.
But nobody was following the same process.
And that's where job costing breaks down.

Good reporting requires good habits.

The goal isn't perfect data.
The goal is consistent data.
Because consistency creates visibility.

And visibility creates better decisions.

Most contractors don't need more software.

They need a process their team can actually follow. The process needs to be flexible to take into consideration of applying processes in the real world.

Most contractors think job costing starts in QuickBooks.

It doesn't.

It starts in the field.

I'm currently helping a contractor implement job costing using AccuLynx and QuickBooks.

The software wasn't the problem.

The challenge was making sure the team collected the information needed to support accurate reporting.

If the crew doesn't record labor correctly…
If materials aren't assigned to the correct job…
If worksheets aren't completed...
If invoices don't match the work performed...

The accounting software has no chance.

Job costing is not an accounting project.

It's an operational project.

The companies that scale successfully understand this.

The field, office, project managers, and accounting team all have to work from the same playbook.

Because when everyone follows the process, the owner finally gets answers to questions like:

• Which jobs are profitable?
• Which crews are most efficient?
• Which services make the most money?
• Where are we losing margin?

That's when job costing becomes a management tool instead of a bookkeeping exercise.
