Today, Commercial Collection Firm of America celebrates 10 years in business.

Ten years ago, our very first client trusted us to recover a debt, and we collected $30,000 for them in less than 24 hours. That recovery marked the beginning of an incredible journey.

During those six months, they sent reminder emails, emailed statements, and made countless phone calls, convinced that one more follow-up would finally get the invoice paid. Instead of escalating the account, they continued trying to collect it themselves while the debtor’s financial condition quietly deteriorated.

By the time the account reached our office, it was too late. Our investigation revealed that the company had already begun mass layoffs, permanently closed its operations, and shut its doors. Have you ever caught yourself saying: "I feel bad sending them to collections. Let me give them one more chance"?

Ask yourself who that chance is actually for.

They broke the original payment terms first. Then they promised to pay, and didn't. Then they asked you for a payment plan, something most vendors wouldn't even offer, and missed that too. That's not bad luck. That's a pattern that has worked on you before, and they know it.

Every time you extend "one more chance," you're not being generous. You're financing their business with money that was supposed to be yours.

Here's the number that should keep you up at night: if you're owed $50,000 and you've collected $0 for the last year, you don't have $50,000 at risk anymore. A business owner recently contacted us because an agency refused to pay her for work she had already completed.

But the unpaid invoice was only part of the problem.

The agency had also been verbally abusive and had threatened to take action against her if she attempted to pursue the money. She was afraid they would damage her reputation, speak negatively about her within the industry, and prevent her from receiving future work.

She even knew of at least two other companies the agency had allegedly failed to pay.

Yet despite everything, she was still afraid to place the account for collection.

Instead of stepping away from a company that did not respect her, freeing herself to focus on customers who valued her work, and allowing experienced professionals to handle the recovery, she decided to continue trying to work it out herself.

That is what makes situations like this so difficult to understand, and so important to discuss.

Sometimes an unpaid invoice is not simply an accounting issue. It becomes a coercive business relationship.

If your accounts receivable process depends on hope, you don’t have a collections strategy. You have a liability.

Here’s a pattern we see constantly: an invoice goes 90 days past due. The business owner or AR manager doesn’t want to be “that company,” so they give the customer more time. The customer offers an excuse. It’s with accounting. The check is coming. We submitted the payment request. Weeks pass. Then months. By the time anyone picks up the phone to say enough, the account is a year old and the leverage is gone.

This is not patience. It’s a slow bleed, and the data backs that up. Industry recovery data consistently shows the same curve: accounts under 90 days past due recover at roughly 90% or better. Push that same account past six months and recovery odds can fall below 70%. Past a year, it’s often below 50%.

Why the drop-off? Two reasons, and they compound:
• A solvent customer who intends to pay doesn’t need twelve months of “reasons.” Repeated excuses are a stalling tactic, whether or not that’s conscious.

• An insolvent customer benefits enormously from delay. Every month you wait is a month they use to prioritize other creditors, negotiate a “pennies on the dollar” settlement, or prepare for bankruptcy. Once that happens, the earliest and most aggressive creditors get paid. Everyone else fights over what’s left.

The businesses that protect their cash flow are the ones with a firm, pre-set threshold for escalation, and the discipline to act on it without apology. That’s not aggressive. It’s just treating receivables with the same seriousness you’d treat payables. No vendor gives you a year of grace on your own invoices. Your customers shouldn’t get that from you either.

If you’re carrying accounts that have quietly drifted past 90 days, the most valuable thing you can do this week is pull an aging report and look at it honestly.
