3.0. OUR METHODOLOGY IN SERVICE PROVISION
We have got various approaches to the needs of our clients, and every area of specialisation mentioned above require a different approach in order to bring out the standard results. Briefly and in general, our approaches towards any assignment given to us by a client involve the following steps:
3.1. Initial discussion and Assessment
Before we commence on any assignment, we hold discussions with the client to establish his/her precise needs, we assess the existing situation and obtain a thorough understanding of the needs of the assignment. We agree upon different terms of reference. Where required by the client, we prepare and submit a detailed proposal setting out;
• The approach to be adopted in carrying out the assignment.
• The work programme and estimated time for completing the work.
• Our estimated fees and recoverable expenses.
3.2. Ex*****on of the assignment
Assignments are carried out by our staff of various levels of seniority depending on the complexity of the work involved. They are directly supervised by the Lead Partner and other Partners. The client is informed of the progress and is also made to participate in the development of any recommendations.
3.3. Reports
Reports are the end products of our work for any given assignment. However, any reports prepared and produced upon completion of the work or during the assignment are held confidential to the client. They are designed to assist directly in decision-making by presenting practical and realistic recommendations clearly and concisely.
In addition, all other documents and records of the client that we use as evidence during production of Reports are also held confidential between the client and our firms. In other words the principle of confidentiality at levels is emphasised when carrying out an assignment.
4.0. SCOPE OF OPERATION
Our firms seek to serve Government Institutions, Local Government Entities; Donor Funded NGOs / Projects, Private Sector Entities and Corporate Individuals, particularly in Uganda.
Since time of establishment, we have successfully accomplished various assignments country wide and we have served so many clients operating in different sectors of the economy.
5.0. CAPACITY TO PERFORM
Our offices in Entebbe town, Jinja and Kampala are for co-ordination and administrative functions. Whenever we get assignments from clients, we deploy our staff to the field and dig out information right from the grass root level in order to exhaust the needs of our clients.
We have so far succeeded in carrying out a good number of assignments, since our firms started engaging in professional service delivery. We have managed to do so simply because all the staff members get directly involved in any given exercise at all levels. All members put their heads together and combine ideas during ex*****on of an assignment. In so doing, qualitative work is ever produced and time management taken into account.
Working with professional firms like ours, even when you have in-house trained personnel has its merits;
Objectivity; working with a professional service provider like MDJ & Partners gives you a different perspective and offers fresh insights into how to address your specific areas of challenge.
A variety of skills and expertise; A firm of professionals like MDJ & Partners is able to retain several specialists, who between them cover a wider variety of skills than a client can hope to assemble under one roof.
Less work for your in-house staff; this lets them concentrate on their core activities, while outsourcing routine and specialist functions.
Professional Approach; As professionals, we are completely focused on your needs and can accomplish much in a shorter period of time. Unlike your in-house staffs who have to juggle with other priorities, we deploy a team that is fully dedicated to accomplishing your stated objectives.
When you choose to work specifically with our firm, you can count on the following;
Commitment to work– Our staffs handle a maximum of 1-3 assignments depending on the demands of specific clients. This allows them to concentrate on your needs without having to juggle numerous other assignments.
What You See Is What You Get – Unlike some “big name firms”, we don’t have top management seated in offices and leaving inexperienced juniors to actually handle the work. Our senior personnel and lead partners are directly responsible for your assignment.
Specific expertise– Our firm has specific strengths in the planning and ex*****on of professional assignments in the fields already mentioned. Our senior personnel have between them, over 10 years of experience in professional service delivery and have handled assignments involving both local and international organisations.
Lean and Flexible structure – We maintain a moderate core staff supported by a multi-disciplinary group of professionals, consultants and specific service providers all retained for their skills and unrivalled experience. This flexibility allows us to keep overhead costs low while offering our clients, quality work at costs less than what is charged by our competitors.
Value for money – Because of our lean, flexible structure, when we present you a budget, you can be sure that the bulk of the funds will go towards financing the needs of your assignment and not meeting expensive overheads.
6.0. THE FIRM’S FIVE SALIENT COMMITMENTS
(a) Commitment to ethical values;
We are guided by our core values, moral and ethical principles in all our dealings with clients and the public in general. Our core values are integrity, professionalism, transparency and accountability.
(b) Commitment to the Client;
We aim at maximising our client’s satisfaction; we respond to the client’s call in the shortest possible time, complete a client’s assignment on agreed time except where external factors come in, deliver quality work and build lasting relationships with our clients.
(c) Commitment to team work;
We practice teamwork in handling our client’s assignment in order to ensure that we add value beyond one individual to what we handle way beyond the monetary rewards we may receive for what is actually done.
(d) Commitment to transformation;
We aim at fostering development and bringing about lasting change in those situations in which we are involved, to the benefit of our client.
(e) Commitment to participatory approaches;
We facilitate learning through self-discovery to bring out the potential of our client. We encourage creativity in bringing about development that is pertinent to the needs and situation of those for whom it is intended.
7.0. CHALLENGES WE SEEK TO ADDRESS
Our firms seek to address four main challenges thus;
(a) The Management / leadership challenge;
We recognise that managers and leaders although may be born, they are generally made. Many have this responsibility thrust upon them when they are not adequately prepared for it. This leads to management performance gaps, which we seek to close through our training programmes as well as providing technical assistance to build up capacity of management.
(b) The Human resource management challenge;
We appreciate the need to have productive human resource, which is both competent and motivated but recognise that human resource management practices in many organisations are not satisfactory. We seek to improve, support and strengthen those practices.
(c) The Accountability challenge;
We recognise the need for sound controls and systems in the utilisation and management of resources in the organisations to minimise malpractice and promote a culture of transparency and accountability.
(d) The Corporate Governance challenge;
We realise that the world is undergoing very rapid changes in knowledge, technology, tastes etc. This requires deliberate strategies to maintain corporate vision and mission and to avoid corporate decline or to revive declining organisation. We promote the practices of planned change.
8.0. OUR FEES / CHARGES
Our fees are computed on the basis of the time spent on the client’s affairs by the partners and our staff, and on the levels of skills and reporting responsibilities involved.
The fees are subject to Value Added Tax (VAT) at the prevailing tax rate, unless the client is exempted from taxes, and will be billed at appropriate intervals during the course of the work.
Prior to ex*****on of any assignment, a client is supposed to pay a consultancy fee and a 50% down payment of the total fees agreed on. The advance fee is required to enable us meet the primary costs of the assignment. Other disbursements such as travelling, subsistence, printing, stationery, communication and other directly related overheads are also recoverable from the client and are usually part of the total contract price. The details of our fee estimates are always availed to clients after holding preliminary meetings with them to establish the scope of work. An agreement on the fee sum is always reached over before any engagement takes effect.
