It's Mental Health Awareness Week, so we wanted to talk about money stress. 🦋

For a lot of small business owners, finances are overwhelming.

Lying awake, wondering if the numbers add up. Dreading opening the bookkeeping software. Avoiding invoices because it all feels like too much.

You're not bad at business; you're carrying too much.

Here are three small things you can do this week to ease the pressure:
1️⃣ Set aside 30 minutes to check your bank balance. No action needed, just awareness of your numbers.
2️⃣ Write down your three biggest financial worries. Sometimes naming them makes them smaller.
3️⃣ Talk to someone, whether that's a trusted friend, an accountant or a bookkeeper. You don't have to figure it all out alone.

We have some very exciting news to share! 🙌

Not only did we celebrate our 10th anniversary last year, but February 2026 was our most successful month ever here at Purple Butterfly Bookkeeping. We are absolutely over the moon!

To celebrate, we headed out for a lovely meal at The Two Henrys in Shrewsbury with the whole team, including two brilliant new members of staff who have recently joined us. It was so nice to spend some time together outside of the office and mark how far we've come.

None of this would have been possible without the wonderful clients and connections who have supported us along the way. From the bottom of our hearts, thank you.

There’s 3 numbers that every business owner should understand.

We all started our businesses not realising how many hats we’d have to wear, including being a bookkeeper.

But, if you only understand these 3 numbers, you can help yourself get ahead:

1. Monthly Overheads - What it costs to just exist as a business (software, rent, insurance, phones, subscriptions). This is the bare minimum you need to cover each month.

2. Monthly Profit - After everything goes out, this is the money you’re left with. This is where you see if your prices work with your costs.

3. Tax Pot - The realistic amount you put aside for HMRC so that you’re not scrambling in January. Even putting a rough % aside each month is better than nothing.

You don’t need to be “good with numbers”; instead, you need to break them down and have a system that works for you.

These are some of the most common bookkeeping questions people search for, so here are some clear answers.

1. Do I really need a bookkeeper?

Not always, but most business owners reach a point where doing it themselves becomes time-consuming and stressful. A bookkeeper helps keep everything accurate and up to date, so nothing builds up.

2. How often should I update my books?

Ideally, every week. Leaving it longer makes it harder to spot errors and keeps you in the dark about your finances.

3. What’s the difference between a bookkeeper and an accountant?

A bookkeeper keeps your day-to-day records accurate and organised. An accountant uses that information for year-end accounts and tax planning. Both are important, but they do different jobs.

4. Do bookkeepers work with my software?

In most cases, yes. We work across Xero, Sage, Kashflow and more, and can help you get the most out of whatever system you’re using.

Now… did you rush your self-assessment in January? Did it leave you in a bit of a fluster?

Did you know that self-assessment actually opens in April?

From 6th April, you can start filing, which gives you a rough idea of what your tax bill will be and plan your cash. However, you don’t have to pay until 31st January.

Most people ignore it until January, and then get in a scramble. Panicking can lead to overpaying if you get things wrong.

If your accounting software says one thing, but your bank balance says another, something isn’t right.

That’s where bank reconciliation comes in. This means checking every transaction in and out of your bank matches what’s recorded in your bookkeeping system.

It sounds simple, but missed transactions, duplicated entries, and timing differences can quickly alter things.

Cash flow figures can become unreliable. VAT returns can be incorrect.

I hate to be the one to say it, but a different piece of accounting software isn’t going to solve your messy bookkeeping.

Xero, Sage, Kashflow are all great tools, but they only help if they’re set up properly, kept up to date, and checked by someone who knows what they’re looking at.

It’s not just about logging your expenses, it’s about understanding what the numbers are telling you. Getting your books checked regularly by someone who can make sure they’re right makes all the difference.
