Are you ready to be a part time Property manager (16 Hours) in a growing property business that strives to improve the standard of rental and holiday let accommodation across Yorkshire.

Want to work for a property investment business and be a part of the property buying journey to help find, maintain and manage properties in Yorkshire?

If you’re the person we are looking for you will be dynamic, be able to work in a fast paced environment, handle project management tasks, be efficient with a can-do attitude, you will want to gain experience in the property sector and enjoy delivering excellent levels of customer service.

You will also work across our partner company supporting different aspects of the business.

Responsibilities and Duties;

Building relationships with tenants and communicating regularly over the telephone and email.

Using Sage to check rent payments and chase any outstanding by calling tenants.

Using the company vehicle to carry out property inspections, produce reports of the findings and action relevant contractors to complete maintenance work required.

Keeping up to date records that comply with current property letting legislation.

Coordinating maintenance works with a variety of trades including negotiating quotes with trades and provide feedback on work carried out.

Regularly creating and updating social media with relevant posts/stories across the various platforms.
Creating a portfolio of high quality property images to use for advertising.

Managing the process of letting a property from start to finish.

Assisting the landlord in new investment opportunities within the housing market.

Using initiative to identify training opportunities when gaps in knowledge occur.

Manage the void process, including completion of remedial works, cleaning, check-out etc
Negotiate rent reviews, tenancy renewals and deposit release.

Liaise with approved contractors and ensure work is completed to expected level of quality.

PETS AND PET DAMAGE

You might remember our recent story when a tenant moved out without paying their last months rent. Well we found out why when we went to complete the end of tenancy inspection and let’s just say he probably anticipated that he wasn’t going to get his deposit back. Our tenancy agreements state you must request to keep pets at the property and with COVID we have definitely seen a spike in requests over the past year. However this tenant did not inform us and whenever we came out to complete an inspection he was not present and we did not want to enter when you could hear the dog was in the property. Finding a property in this state is pretty frustrating however it’s important we take lessons from our experiences and put things in place to stop this from happening again.

What we have learnt:

🚩 Keep up to regular inspections
🚩 Have good communication with tenants wanting pets
🚩 Increase rents and/or deposits for those wanting a pet
🚩 Detailed inventory reports at check in
🚩 We are still in discussions about whether we accept pets requests in the future!

What’s the procedure?

👉 Check the market value. We used and to get an idea of what similar properties were renting for and also the availability of this type of property in the area.
👉 Be aware of what steps you legally have to take. As we are members of the we have access to a wealth of knowledge.
👉 Review your current tenant. How long have they been in the property? How long are they likely to stay? How likely are they to move out if you increase the rent and what will the cost entail of getting new tenants in the property?
👉 Decide on a ‘fair’ increase.
👉 Plan a staggered approach. Let’s face it, worst case scenario everyone ends their tenancy. You don’t want that happening all at once 😅
👉 Give the tenants plenty of notice (at least a month).
👉 Call them to discuss the increase and explain why you are increasing the rent, maintaining a good relationship.
👉 Send the relevant documents in the post and make them aware they can dispute and what the process is.

Bare in mind:
👍 Some landlords increase rent annually.
👍 You could wait for a change in tenants to increase the rent.

Meet Marie, she came on the market at just the right time for us. We jumped at the opportunity to take her under our wing and really make use of her generous space. She was well looked after so after some modernising and fresh paint we could really see that offering her as a house share would suit her to a ‘T’.

Those of you with a keen eye might notice we are in the process of updating our marketing shots for the rooms! It’s difficult to get clear shots of the communal areas in HMO’s as ours are never fully empty! It’s a work in progress 😅

When it comes to the outstanding list of maintenance jobs, it can feel like fire fighting. But it’s easy to remember you only see what jobs are still open and forget about the jobs ticked off the list. You only hear from the tenants chasing work or deal with the contractors you are chasing to do work and not from the happy tenants who have had issues resolved. Accepting that the list will never end and taking time to reflect on the work complete helps even the most unstable property manager stay sane 🤪

We’ve had the emergency call out cover for a few months now and one of the added bonuses is that they complete the annual CP12’s (Gas Safety Check) for us. However it hasn’t been all smooth sailing. They won’t enter an empty property and you can see from the image above, one of our tenants who works away is never in when they call. We started being charged for the missed call outs ☹️ So here’s how we we’ve worked with it

👍 Asked the insurance provider for a breakdown of their process and how they communicate the appointment with the tenants
👍 Made sure all tenant information was up to date at their end
👍 Spoken to the tenant about the importance of having an up to date CP12. Having a good relationship with your tenants is key here.
👍 For this tenant Cerin booked the appointment directly with the provider for a day she knew she could meet them at the property (linked with an inspection date 😀) and advised the tenant of the date in good notice so they could make arrangements if needed.
👍 Created a template email to send to tenants when jobs are booked in reminding them of the date and the importance of the visit
👍 Advised tenants that they may be charged for the missed appointment.

We met Alice in 2017 and she really needed a bit of love to bring her up to date. We spent time trimming the bushes and cutting the lawn right back. Her garden is huge and we knew it would be a massive selling point for families with children. A fresh new kitchen and flooring throughout brought Alice right up to our high standards.
