🎃 “The Haunting of Unpaid Invoices” — A Halloween Tale of Credit Control:

As October’s shadows lengthen and the air turns chill, businesses everywhere face a familiar horror — not ghosts, not goblins… but unpaid invoices lurking in the dark.

They start innocently enough — a client promises, “We’ll pay next week,” and you believe them. But then the due date passes. Weeks turn into months. Suddenly, your cash flow looks like a haunted graveyard — empty and silent.

Welcome to the Nightmare on Credit Street.
👻 The Monsters of Poor Credit Control

Every business has met these frightful figures:
• The Vanishing Client — They were so responsive before the invoice went out, but now? P**f! Not a trace.
• The Ghost Payer — They promise payment every full moon, but the funds never arrive.
• The Zombie Account — Dead for months, yet still somehow walking your ledger.
• The Dracula Debtor — Slowly draining your cash flow, one delay at a time.

🕸️ The Spell to Banish Bad Debts
To survive the season of scares, every finance team needs a few protective charms:
1. Screen your clients before offering credit. A little background check can save you from future fright.
2. Set clear payment terms — and stick to them like garlic to a vampire.
3. Use automated reminders so no invoice slips into the shadows.
4. Follow up fast — the longer you wait, the colder the trail becomes.
5. Know when to escalate — sometimes it takes a professional collector to exorcise a truly haunted debt.

💬 The £5 Widget That Still Goes Bust — Lessons in Cash Flow I Wish I’d Learned Sooner

I read recently in the Chartered Institute of Credit Management that late payments are still the biggest threat to SMEs — and it really hit home.

I remember back at school wondering: how can a business fail if it makes a widget for £5 and sells it for £10? Simple, right? Profit equals success.

Not quite.

It turns out you can be “profitable” and still go under — because it’s cash flow, not profit, that keeps a business alive.
Here are a few questions I’ve learned to ask myself (sometimes the hard way):
💷 Have you set aside money for HMRC?
Those tax bills don’t care how sales are going. Putting a bit aside every month for VAT, PAYE, and Corporation Tax saves a lot of stress later.
🏢 Is there money ready for the rates bill?
Fixed costs like rent and rates don’t disappear when things get tight. Planning for them keeps you in control.
🔧 Do you have a fund for unexpected breakages?
Something will break — whether it’s a laptop, a van, or a key piece of kit. Having even a small buffer (2–5% of turnover) can make a big difference.
💡 Have you thought of every expense when setting your price?
It’s easy to focus on materials or labour, but what about insurance, software, admin, or replacements? True pricing means covering all the costs — not just the obvious ones.

And then there’s the big one — late payments.
Even when everything else is right, cash flow can grind to a halt if customers don’t pay on time. Having clear terms, chasing promptly, and not being afraid to follow up are essential habits.

I’ve come to realise that profit looks great on paper — but cash flow is what keeps the doors open.

It’s not glamorous, but it’s what separates a thriving business from one constantly fighting fires.

Autumn Budget Reminder 🍂
With the dark nights drawing in and the Autumn Budget on the horizon, now is the perfect time to review your Credit Control function and take proactive steps to strengthen your cash flow.

Ask yourself:
Are you invoicing quickly and accurately?
Do you send regular monthly statements to your customers?
Have you clearly set out your payment terms — and are you sticking to them?

Taking the time to assess what’s working well and where improvements can be made will put your business in a stronger financial position for the months ahead.

If you’d like advice or guidance on optimising your credit control processes, please reach out to ICCS — we’re here to help.

The word RECESSION is being repeated often in the business world today and everyone is saying that we must now focus on CREDIT CONTROL and collect as much outstanding money as possible.

At ICCS we ask the question WHY WERE WE NOT ALWAYS DOING IT?

Have you recently looked at your debtors ledger?
Have you recently looked at the 90 days+ column?
Have you drilled down and analysed it?
What's its percentage compared to the rest of the ledger?
How much of it is real and what needs to be a provision for bad debt or written off?
What way are you going to tackle it and maybe a more important question is where are you going to find the TIME to tackle it?

Let ICCS help your business, please give me a ring anytime on 07955 079848.

The old saying "Cash is King" is something that I have advocated many times over the years. Not so sure now, as in 2018 debit card transactions exceeded cash payments and this was before the pandemic that "enforced" contactless payments. Advances in technology means, we can take instant payment, have you considered setting up an online store that will allow you to sell to Anyone from Anywhere? Taking card payments is now portable with some card readers small enough to fit in your pocket.
Yes "Cash is King" but it can now be acquired in different forms.

What have we learned from Covid -19?
Ask yourself, do I have to drive to Galway or wherever for the meeting? Could I do a zoom call, saving time, saving fuel, saving our environment?
Ask yourself, do we need all our employee's in every day or could they work from home - saving office costs and also saving our employee's the cost of travelling to work.
Let's look at Covid-19 in a different way, how it has shown us that we can conduct and continue in business via different ways and how some of these methods and platforms are not detrimental but actually beneficial to our business and the wider business community.
Good luck and stay safe.
