Here are FIVE reasons as to why you should be on software:

➡️ If you are a limited company then you need to have a separate bank account, you can link this in and the software will pull the transactions through for you in a bank feed.

➡️ If you are self employed, then I would strongly recommend a separate bank account so that you can have a live bank feed too but you will need software soon because of Making Tax Digital for Income Tax (MTD for IT) and needing to do your quarterly submissions.

➡️ You can have your invoice template all set up and send invoices directly from your software .. and set up auto-chasers (although these only work if you keep your books up to date, otherwise you might be chasing something that has been paid).

➡️ Reporting capabilities - you will be able to see how your business is doing so that you can make informed decisions on a timely basis - this will allow you to be proactive rather than reactive.

➡️ Working with a bookkeeper or accountant will be 100% easier when you are on software.

There are lots of options out there and yes, they cost money but they will save you time so it's money worth spent.

My recommended software is Quickbooks, but there are several alternatives.

🎄 Christmas Party Claim Rules (UK)

✔️ £150 per person (including VAT)
Your company can claim up to £150 per head for a Christmas party. This includes all event costs- food, drink, venue hire, entertainment, travel and even accommodation. As long as it totals £150 or less per attendee.

✔️ All employees must be invited
To be eligible for the tax exemption, the party must be open to all employees (not just directors or select staff).

✔️ Exemption, not an allowance
It’s an exemption from tax and National Insurance rather than a straightforward “allowance.” If the cost exceeds £150 per person, even by £1, the entire cost becomes taxable as a benefit in kind — not just the excess.

✔️ Multiple events can count
You can run more than one annual event (e.g., a summer party and a Christmas party), as long as the total per head across all events in the year doesn’t exceed £150.

✔️ VAT reclaim
You may be able to reclaim VAT on staff entertainment costs, but only for employees’ costs and not for clients or guests.

📌 Quick Example

If your Christmas party costs £140 per person, it’s fully tax-exempt and claimable. But if it costs £160 per person, the entire £160 becomes taxable, with additional reporting and potential PAYE/National Insurance implications.

You can give non-cash gifts to employees that are tax-free and deductible for the company if all of the following are met:

The total cost including VAT is £50 or less per employee in a tax year

The gift is not cash or a cash voucher

It isn’t a reward tied to performance or part of their contract
Examples: chocolates, a hamper, a bottle of wine or a branded mug under £50.

✔️ Deductibility
These qualifying gifts are treated as legitimate business expenses, the cost can reduce your company’s taxable profits and you can claim the VAT back (if VAT-registered)

❗ If you go over £50
Once a gift exceeds £50, it is treated as a taxable benefit-in-kind for the employee the whole value becomes taxable, not just the excess, meaning you’ll need to report it😉
