We are offering a rewarding Receptionist / Administrative Assistant Internship opportunity for a motivated and organised individual. This internship will provide valuable hands-on experience in office administration and receptionist duties within the proper invest. As a Receptionist / Administrative Assistant Intern, you will play a vital role in ensuring a welcoming atmosphere, managing administrative tasks, and supporting the overall efficiency of our office operations.
Internship Program Details:
Duration: 3 Months
Location: El-sheikh zayed, Giza
Responsibilities:
Receptionist Duties:
Front Desk Operations: Greet visitors and provide a warm and professional welcome to the office. Manage incoming calls, direct them to the appropriate personnel, or handle general inquiries effectively.
Visitor Management: Maintain a visitor log, issue visitor badges, and ensure all necessary safety protocols are followed for guests while they are on-site.
Communication Handling: Handle incoming and outgoing mail, emails, and faxes, and distribute them to the appropriate recipients. Screen and redirect phone calls as necessary.
Appointment Coordination: Schedule appointments and maintain the organisations calendar for meeting rooms, conference calls, and other events.
Office Maintenance: Keep the reception area, lobby, and common areas tidy and organised at all times. Monitor and restock office supplies as needed.
Administrative Assistant Duties:
Administrative Support: Assist with various administrative tasks, including filing, data entry, photocopying, and preparing documents and reports.
Meeting Support: Arrange and prepare materials for meetings, take minutes when required, and assist in setting up audiovisual equipment.
Record Maintenance: Maintain accurate records and databases, including contact lists, vendor information, and office expenses.
Team Collaboration: Collaborate with colleagues and provide administrative support to different departments as needed.
Special Projects: Support special projects or initiatives by assisting in research, data gathering, and presentation preparation.
Qualifications:
Pursuing a Bachelor's degree is Business administration or related fields.
Excellent english both written and verbal.
Excellent verbal and written communication skills, with a professional and pleasant attitude.
Strong organisational skills and ability to multitask.
Proficiency in Google docs, sheets and slides.
Strong attention to detail and ability to maintain confidentiality.
Ability to work independently and as part of a team, demonstrating a proactive and adaptable attitude.
Time management skills
Willingness to learn.
Ability to commute to work.
