Announcement:
After 35 years of dedicated service, our Office Manager/Administrator, Janet, will be retiring in December. As we prepare for this important transition, Upper Canada Mortgage and Investment Corp. is looking for a professional, dependable and detail-oriented individual to join our small Cornwall office.
This is a full-time, long-term opportunity for someone who enjoys working with clients, is comfortable handling both administrative and bookkeeping responsibilities, and takes pride in keeping an office organized and running smoothly.
We hope to hire as soon as possible, ideally by early fall 2026, to allow the successful candidate to receive hands-on training from Janet and transition comfortably into the position before her retirement.
Position Details:
Administrative Assistant / Office Administrator
Full-time, permanent position
Monday to Friday, from 9:00 a.m. to 5:00 p.m.
One-hour unpaid lunch break
35 paid hours per week
$24.00 to $29.00 per hour, based on experience
In-person position located in Cornwall, Ontario
Start date as soon as possible, ideally by early fall 2026
Key Responsibilities:
-Answer phones and respond to emails in a friendly and professional manner
-Greet and assist clients
-Schedule appointments and follow up with clients as required
-Prepare, organize and file documents
-Support the day-to-day operations of the office
-Assist with administrative tasks related to mortgage files and client records
-Complete basic accounting and bookkeeping tasks
-Use Simply Accounting to support the office’s accounting needs
-Maintain accurate and organized client and office records
-Protect confidential information and ensure it is handled professionally
Required Qualifications and Skills:
-Strong organizational and time-management skills
-Professional written and verbal communication skills
-A friendly, professional and client-focused approach
-Comfort working with clients and handling confidential information
-Basic computer skills, including email, Apple/Mac systems and general office software
-Basic accounting or bookkeeping knowledge and experience
-Strong attention to detail
-Reliability and the ability to work independently
-The ability to learn quickly, take initiative and manage competing priorities
Assets:
The following would be considered assets but are not required:
-Previous administrative or office experience
-Experience in a mortgage, financial, legal, real estate or other professional office environment
-Experience using Simply Accounting
-Familiarity with scheduling, filing, document preparation and client follow-up
-Bilingualism in English and French
