PERIOD: Open-ended with a probation period of 6 months
FULL JOB SUMMARY
Under the supervision of the Human Resources and Administration Director, the Human Resources Assistant general role is to assist the Human Resources and Administration Director in support activities inside the HR department, from coordinating meetings to maintaining filing systems to managing HR databases. An HR Assistant act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. She/he also assist in creating policies, processes and documents.
RESPONSIBILITIES
Promote and fulfill the mission, method, and motivation of Turame Community Finance.
SPECIFIC RESPONSIBILITIES
• Ensure that his/her actions and behaviour are consistent with the institution's objectives, spiritual integration plans and values.
• Assist with day-to-day activities of the HR functions and duties
• Provide clerical and administrative support to Human Resources and administration Director
• Compile and update employee records (hard and soft copies)
• Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, performance evaluations etc)
• Coordinate HR projects (meetings, training, surveys etc) and take minutes
• Deal with employee requests regarding human resources issues, rules, and regulations
• Assist in payroll preparation by providing relevant data (changes, bonus, leaves, etc)
• Oversee the completion of compensation and benefit documentation.
• Assists the heads of departments in planning annual leave by providing the necessary information.
• Track sick leave and other circumstance leaves separately.
• Establish costs related to leave administration.
• Communicate with public services when necessary
• Properly handle complaints and grievance procedures
• Assist with the recruitment process by identifying candidates, performing reference checks, and issuing employment contracts.
• Perform orientations and update records of new staff.
• Assist in the collection, organization, and analysis of HR data like employee demographics, turnover rates, and training KPIs to generate HR reports, produce and submit reports on general HR activity.
• Complete termination paperwork and exit interviews.
• Staying up to date on changes in employment laws
• Keep up to date with the latest HR trends and best practices.
SKILLS AND QUALIFICATIONS
i. Personal confession of faith in Jesus Christ and commitment to the mission and vision of Turame Community Finance.
ii. Bachelor's degree in human resources or related (essential).
iii. 2 years of experience as an HR assistant (essential).
iv. Exposure to labor law and employment equity regulations.
v. Effective HR administration and people management skills.
vi. Exposure to payroll practices.
vii. Full understanding of HR functions and best practices.
viii. Excellent written and verbal communication skills.
ix. Fluency in French and English.
x. Works well under pressure and meets tight deadlines.
xi. Highly computer literate with capability in email, MS Office, and related business and communication tools.
xii. Fantastic organizational and time management skills.
xiii. Strong decision-making and problem-solving skills.
xiv. Meticulous attention to detail.
xv. Ability to accurately follow instructions.
