🌟 BEHIND THE SCENES IN BOOKKEEPING🌟
Today we share a behind-the-scenes look at bookkeeping for "Uber Eats fees"

TRANSACTION OVERVIEW
🍽️Sales are made and delivered via Uber Eats.
🍽️Advertising is also currently being done with Uber Eats
🍽️Delivery fees for the meal are also applicable

TRANSACTION ISSUES
🍽️The amount deposited to our bank from Uber Eats is $233.92 (the visible element on the bank statement and/or bank feeds)
🍽️The full value of the sale must be accounted for along with its GST (an invisible element from bank statements or bank feeds)
🍽️The value of the delivery fees, along with its GST, needs to be identified and accounted for. (another invisible element from bank statements or bank feeds)
🍽️The value of the marketing cost plus its GST needs to be identified and accounted for. (another invisible element from bank statements or bank feeds)

These items are important for accurately reporting your sales, delivery expenses and marketing expenses, plus ensuring we can claim back the GST on these expenses.

All of these contribute to producing the accurate reports you need as a business owner.

If we can help with any of your bookkeeping, payroll, superannuation, or BAS services, call us.

We can share your burden and lighten your load.

When do I need to register for an ABN?

This is an important question for registered business owners and for new business start-ups.
πŸ‘‰ Registered business owners who are purchasing goods and services from another business.
πŸ‘‰ New business start-ups selling to consumers only and/or other business entities.

The base rule:
πŸ‘‰ You need to get an (ABN) Australian Business Number if your annual turnover is $75,000 (before GST). You will also need an ABN of you receive payments from other businesses that require an ABN.

Expressed in another way, no ABN is required if you are NOT providing goods or services to other businesses and your annual turnover is less than $75,000.

Who Needs to Register for an ABN?
πŸ‘‰ Sole Traders
πŸ‘‰ Businesses that want to register for GST, even if your annual turnover is less that $75,000.
πŸ‘‰ Businesses that want to claim business expenses from their income tax. Yes, that means if you don't register, you cannot claim deductions from taxable income.
πŸ‘‰ Businesses that want to register for a ".au" domain name.

Reasons why you would want to register.
πŸ‘‰ It makes your business look more professional.
πŸ‘‰ It simplifies your tax reporting.
πŸ‘‰ It makes your business easily identifiable.
πŸ‘‰ It allows you to register your business name nationally.
πŸ‘‰ It allows you to claim back GST you have paid on business expenses.
πŸ‘‰ It allows you to register for PAYGW.
πŸ‘‰ It allows you to claim Fuel Tax Credits if you are eligible.
πŸ‘‰ It allows you to offer fringe benefits to employees.

If we can help with any of your bookkeeping, payroll, superannuation, or BAS services, call us.

We can share your burden and lighten your load.

πŸ€” GST Terms and Explanations πŸ€”

For the purpose of this post, the principal GST codes will be those from MYOB, and where equivalents are available in Xero, these will be identified along with the meaning and code relationship to the GST Act(1999). MYOB will use a single code for both revenue and expense items, and the code setup will ensure the transaction is allocated to the correct side of the ledger; Xero uses two codes to achieve the same result.

N-T = Never Taxable (MYOB) – Not Reportable (Xero)
These codes are used when a transaction is not the supply of either goods or services, (not covered by the GST Act). Examples of this would be things like a transfer of funds from one bank account to another. Could also be depreciation, drawings, capital, or loan funds from owners or lending institutions.

GST = Goods & Services Tax (MYOB) – GST on Income & GST on Expenses (Xero).
These codes are used on all transactions that are the provision of either goods or services, except for those provisions that are exempted under the GST Act, such as those items listed on the GST Free list, and those listed on the Input Taxed list.

FRE – GST Free (MYOB) – GST Free Income & GST Free Expenses.
These codes are used to identify transactions listed as GST Free under the GST Act. Refer to the Act for a detailed list.

ITS = Input Taxed Supplies (MYOB) – Xero has no equivalent and uses GST Free instead.
This special code introduces another code, ITP = Input Taxed Purchase (MYOB) – Xero again has no equivalent. This code is for purchases related to an Input Taxed Supply and is exempt from any GST claim, even though GST may have been paid.

NIG = Negative Input GST (MYOB) – Xero has no direct equivalent. The only option is to use the GST on Income and GST on Expenses codes.
This code is used when an income transaction entered also includes an expense element or an expense transaction also includes an income element. This is important because it keeps the data for these types of transactions on the correct side of the ledgers in your accounting file. A proper explanation of this issue is too large to explore in this post.

The ATO's Small Business Superannuation Clearing House is Closing

The ATO's Small Business Superannuation Clearing House (SBSCH) will close permanently from 1st July 2026. This means employers will no longer be able to use the SBSCH to make super payments.

Key Dates
πŸ‘‰ New employer registrations closed on 1 October 2025.πŸ‘‰ The final quarter for SBSCH use will be for the March 2026 quarter superannuation. πŸ‘‰ There will be no SBSCH payments processed after 30 June 2026.

What This Means
Employers who currently use the SBSCH will need to move to a new way of paying super before July 2026
πŸ‘‰ Paying directly into each employee's super fund
πŸ‘‰ Using a commercial super clearing house. This could be using the one from your default superannuation fund. If you don't know or don't have a default super fund, then please call us, and we can assist you.
πŸ‘‰ The option ABBS recommends is to use the payroll software that can send contributions to multiple funds automatically. Talk to us if you have any questions or need any assistance in setting up, or using this option.

The change means businesses will need to review how they pay super to ensure contributions continue to be made correctly and on time once the SBSCH closes.

What To Do Now
It's best to start planning early. Taking a few simple steps now will make the transition smoother and less stressful:

πŸ‘‰ Check the current setup. Confirm whether the business is using the SBSCH.
πŸ‘‰ Explore alternatives. Look at other super payment options, such as direct payments, a commercial clearing house, or payroll software that handles multiple funds.
πŸ‘‰ Test the new process. Set up and trial the chosen method before mid-2026 to catch any issues early.
πŸ‘‰ Review employee details. Make sure each employee's super fund and account information are accurate and up to date.
πŸ‘‰ Keep clear records. Document payments, confirmations, and any system chages.
πŸ‘‰ Plan for deadlines. Schedule payments so contributions are made on time and avoid last-minute rushes.
πŸ‘‰ Seek guidance if needed. A bookkeeper can help review processes, check compliance, and troubleshoot potential problems.

Starting early not only ensures a smoother transition but also gives time to compare options, train staff if needed, and ensure payments will continue correctly once the SBSCH closes. Preparing now reduces the risk of errors, missed payments, or compliance issues down the track.

Our Role As Your Bookkeepers
As your Bookkeepers, ABBS can guide you through this change by reviewing your current processes, recommending suitable alternatives, and helping with setup and compliance. Early conversations between your ABBS bookkeeper and yourselves will help everyone stay organised, confident, and ready for the SBSCH closure.

Thank you so much for your kind words and recognition!

It has been an honour to serve as the honorary treasurer and bookkeeper for QJCS Inc. over the past 12 years. I'm glad to hear that my knowledge and expertise in governance requirements have contributed to the accuracy of the accounts.

Your appreciation, along with the auditor's compliments, mean a lot to me. It's been a privilege to support the organization, and I look forward to continuing to contribute in the years to come.

🌟Recovering from bookkeeping Mistakes🌟 POST TEXT TO BE CREATED

Correcting a bookkeeping file with numerous errors that can range from minor to extreme requires a systematic approach to ensure accuracy and compliance.

πŸ‘‰We start by identifying and categorising errors, such as missing accounts, reconciliations, misallocations, missing entries, or GST coding mistakes.

πŸ‘‰We cross-check all transactions against source documents (receipts, invoices, and bank statements) to validate accuracy.

We reconcile all accounts to ensure balances match and address any discrepancies.

πŸ‘‰Finally, we implement a review process to prevent recurring errors, such as setting up checks and balances or using automated tools. Consistent attention to detail and regular monthly audits can help maintain a clean and accurate bookkeeping file.

We have produced a short 2-minute 40-second video that can help outline some of the issues and the potential consequences.

View the video from the link on first comment.

If we can help with any of your bookkeeping, payroll, superannuation, or BAS services, call us on 1300 022 270.

We can share your burden and lighten your load.
