Back up your systems that aren't cloud-based, check manuals for correct machine shut-down and start-up procedures over extended periods of time and put lighting on a timer to give the illusion of activity inside. Clean out fridges, all bins, ensure there is nothing blocking your fire doors and corridors and don't forget the security tips on day #6. Ask your staff who can adopt a potplant for their holiday!

On the eleventh day of Christmas…

Today is the ATO due date for those with monthly BAS, so I've got BAS on my mind. Even though quarterly lodgers are given an extra month for Q2 lodgments I still get quarterly reporting packs out to clients as per ordinary dates. Ensure you schedule your Q2 appointments and block out your calendar to do the same because we all know once we slip out of schedule it's hard to know where we're up to a month later. Protect your time so your compliance doesn't get pushed down the post-holiday to-do list.

If you are eligible for the Lodgement Penalty Amnesty Program that was announced earlier this year and have been working through your overdue income tax returns, BAS and FBT returns, don't stop now! You still have 10 more days. Get those submitted to have your Failure To Lodge (FTL) penalties remitted.

Set up an automatic payrun for while you're away. Communicate to staff that any overtime or leave applications that haven't been received/approved by your cut-off will be processed in the next payrun after the holiday period, as such ordinary hours will be paid.

Cancel waste removal or any other periodical deliveries that are scheduled during your closure. Request for waste removal on your final day of business, and if it is not available, ensure packaging is compacted and consealed so not to showcase inventory and equipment stored inside to opportunistic thieves while the business is unattended. Talk to your neighbours about their own holiday plans and see if you can coordinate extra security between both of you if your premise doesn't provide the service.

Now that you have up-to-date information for your receivables and payables from the first two (business) days of Christmas. Update your cashflow forecast for before and after your holidays so you can actually enjoy your break with no nagging worries.

Let your customers know about excess stock or availability for Christmas. If you have a recurring client pause your service for their own holiday or you have unsold Christmas stock today is the day to get an announcement out to your preferred channels - your emailing list, post it on your socials, add a banner on your website - everywhere your customers might be. Bundle some of your slow-sellers with your high-sellers to get them out the door before Santa comes.

If you haven't already, review the latest award around employer-directed leave before it's too late. Conditions vary between industries and some have changed since last Christmas. If it is not cited in the applicable award an employer cannot mandate leave for staff who don't have sufficient leave balance. Of course, it is still possible to find a workable solution to suit both parties. Check your award and consult Fairwork if you still need clarification.

Communicate your holiday opening hours or your shutdown period well before they start - add it to your email signature, record it to your voicemail, stick a poster on the entrance window, and most definitely don't forget Google! It is so handy when trading hours come through on maps.

Today, pay forward the conversations you had yesterday, this time with your suppliers. Call to wish them a happy Christmas and request your account statements.

Reconcile these with your Aged Payables report. That is, check the invoice numbers, the total amount payable and the due dates. For any differences you find either make the correction or talk to them to sort it out early.

Follow up with a quick email to let them know when you plan to make your next payment and share the love.
