We are now one month into Payday Super.

Employers should no longer be treating superannuation as a quarterly task. Super now needs to be processed alongside each pay run, with contributions required to reach the employee’s super fund within the required timeframe of 7 days.

This makes correct payroll setup more important than ever.

Now is a good time to check:

• Are the correct pay items attracting super?
• Are super payments being initiated with every pay run?
• Are failed or returned contributions being followed up?
• Has your cash flow adjusted to the new payment frequency?
• Does someone have responsibility for checking the process?

A system may automate part of the process, but someone still needs to make sure it is working correctly.

Seeing money in the bank can feel reassuring — but your bank balance does not necessarily tell you how much money your business can safely spend.

Some of that balance may already be needed for:

• GST
• PAYG withholding
• employee superannuation
• payroll
• supplier bills
• loan repayments
• upcoming business expenses

Good bookkeeping helps you understand what is genuinely available, rather than making decisions based on one number in your banking app.

Your bank balance tells you what is there today. Your financial records help tell you what it needs to cover tomorrow.

A new month is a good opportunity to pause and check where your business finances actually stand.

Are your bank accounts reconciled?
Do you know which customers still owe you money?
Are there any large bills, payroll commitments or tax payments coming up?
Does your cash flow look comfortable for the month ahead?

You do not need to spend hours buried in reports. A simple monthly financial check-in can help you spot issues early and make better decisions before they become urgent.

Bookkeeping Tip: photograph your receipts before they fade, disappear or become one with the floor of your car. 🧾

A clear receipt now can save a lot of detective work later.

Better still, send it straight to your recommended software while you still remember what it was for.

Your bookkeeper does not enjoy playing “guess the mystery purchase” nearly as much as you might think.

Payday Super has now been in place since 1 July. How is your business going with the change?

By now, employers should have updated their payroll and payment processes so super is paid with each pay run and reaches the employee’s super fund within the required timeframe.

But there is another important change that may have been overlooked.

Super is now calculated on Qualifying Earnings. While payments that previously attracted super generally continue to do so, Qualifying Earnings also bring additional payments into the calculation. This means the settings attached to your payroll categories and pay items may need to have changed.

Simply switching on automatic super payments may not be enough.

Your payroll should be reviewed to make sure:

• the correct pay items have super applied
• Qualifying Earnings are being reported correctly through STP
• super is calculated at the correct rate
• payments are being processed and received on time
• errors and returned contributions are identified promptly

If you are unsure whether your payroll has been set up correctly, now is the time to check — before a small configuration error is repeated across multiple pay runs and employees.

AI is changing bookkeeping, and that is not a bad thing.

Used well, it can save time, reduce repetitive work and help process information more efficiently.

But AI is still a tool.

It does not know your business. It does not understand the context behind a transaction. It cannot always recognise when something looks unusual, ask the right follow-up question or apply professional judgement to a situation that does not neatly fit the rules.

That is where an experienced bookkeeper matters.

Good bookkeeping is not just data entry. It is reviewing, questioning, checking, interpreting and making sure the information in your accounts actually makes sense.

We use technology to work more efficiently, but your books still have real people overseeing them.

Faster is useful.

Accurate, considered and properly reviewed is better.

A little Friday reminder: seeing money in the bank does not necessarily mean your business has made a profit. 😬

Some of that money may already belong to the ATO, your employees or their super funds, or your suppliers.

Before you celebrate with a spending spree, check your actual numbers — or ask your bookkeeper what you can safely spend. Even better, ask for an explanation of why, so you can better understand how to read and interpret the financial reports of your business!
