Stripe takes out:
– Fees
– Refunds
– Adjustments

So if you’re only recording what hits your bank… you’re missing part of the picture.

And that = inaccurate financials 😬

Recording Shopify deposits as sales.

This is the fastest way to:
– Underreport income
– Miss expenses
– Confuse your accountant

Instead → record gross sales + fees separately

This is one of the biggest pain points I see with e-commerce business owners.

Here’s why it happens:
✔️ Processing fees are deducted
✔️ Refunds come out later
✔️ Payout timing delays

So what hits your bank is NOT your actual sales.

And if you’re recording deposits as income… your books are off.

When we meet with CEOs, these are the key reports that should always be on the table:

Expense Report – Where the money is going and how it aligns with the budget.

Revenue & Profit Report – What’s coming in, what’s left over, and where growth opportunities exist.

Cash Flow Forecast – Ensuring the business can meet obligations and fund future plans.

Budget vs. Actuals – Comparing planned spending to real results to catch issues early.

Key Metrics (KPIs) – Numbers that reflect the health of the business (margins, client acquisition costs, debt ratios, etc.).

If you’re running your business without these insights, you’re not leading with numbers, you’re guessing.

When you move money between accounts, for example, from your checking account to your savings account, your bookkeeping should show both sides of that transfer:

- Money leaving one account

- Money arriving in the other

If you only record one side, your balances will be off and your reports won’t match what’s in the bank.

Recording both sides ensures everything stays balanced and your financial statements remain accurate.

Reconcile monthly to ensure account balances match what the bank shows.

Fraud and scams are on the rise, and small businesses are often the target.

Here are key steps to keep your finances safe:

1. Only give financial account access to trusted team members who truly need it.

2. Always separate duties (for example, the person who writes checks shouldn’t be the same person reconciling accounts).

3. Double-check invoices and confirm bank details before sending money.

4. Train your team to spot fake invoices, spoofed emails, or suspicious links.

5. Set up alerts for unusual activity and review transactions daily or weekly.

6. For large transfers or payments, require two levels of authorization.

7. Be sure to run background checks on employees and contractors, especially those who will handle money or sensitive data.

8. Work with trusted professionals, a bookkeeper or CFO can provide an extra layer of oversight and protection.

Follow for more tips like this and save this post for later so you can keep your business protected.
