Administrative Officer
Virtuarch & TQ GROUP
A successful Administrative Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records. If you have previous experience as an Office Administrator or similar administrative role, we’d like to meet you. Our ideal candidate also has working knowledge of office equipment and office management tools.
Ultimately, you should be able to ensure our administrative activities run smoothly on a daily and long-term basis.
Position Responsibilities
· Maintain the company calendar and schedule appointments, specially for Managing Director
· Prepare regular reports on expenses and office budgets
· Maintain and update company databases
· Organize a filing system for important and confidential company documents
· Answer queries by employees and clients
· Update office policies as needed
· Prepare meeting rooms when have client meeting
· Distribute and correspondence for client (e.g. letters, emails and contract)
· Prepare reports and presentations with statistical data, as assigned
· Arrange travel and accommodations
· Schedule in-house and external events
· Provide office and reception services in a professional and sensitive manner.
· Provide general administration duties to support the office operations of Virtuarch Bangkok including answering and return calls, booking and confirming appointments, message taking, photocopying and petty cash management, mailing and typing correspondence.
· Liaise within Project Manager to client and co-partner billing
· Coordinating of Virtuarch Shanghai and Virtuarch Bangkok marketing and monthly finance records system.
· Data entry of confidential information into relevant data bases and information management systems
· Support the community engagement coordinator in accessing general practitioners and surgeries for sharing information about Virtuarch. Also, to assist where possible to achieve the outcomes in Virtuarch workplan.
· Provide secretarial support, photocopying and basic administrative duties.
· Maintain and monitor stationary, office supplies and consumables
· Oversee office equipment and organize maintenance and repairs as required
· Support to Virtuarch operations; preparation and weekly meetings, preparation of reports as required for Virtuarch Shanghai, CO-partners, Clients.
· Maintain and improve administrative systems and processes.
Requirements
· Attention to detail, work patient
· Proven work experience as an Administrative Officer, Administrator or similar role
· Solid knowledge of office procedures
· Experience with office management software like MS Office (MS Excel and MS Word, specifically)
· Strong organization skills with a problem-solving attitude
· Excellent written and verbal communication in English and Thai skills
· Bachelor Degree, Additional qualifications in Office Administration are a plus
