Human Resource Officer

Reports To
Reports To: HR Manager
Location : East Legon

Key Responsibilities
• Implement Human Resources policies and procedures in line with approved rules and regulations of the company.
• Monitor the actual Head Count of employees of the company and prepare monthly manning reports for review by Assistant HR Manager and update the manning register.
• Provide the necessary support in the recruitment processes (e.g. shortlist of applicants, arrangement of logistics, etc.) in accordance with approved HR polices/ procedures.
• Monitor all contracts and temporary engagements in line with approved HR policies/procedures and related labour regulations as directed.
• Process employees’ Personnel Actions including re-imbursable claims (e.g. leave, sick offs, medical, advances/loans, etc.) for approval in line with established policy guidelines.
• Handle/respond to HR operational enquiries from employees of the within prescribed limits of authority.
• Liaise with Directorates/Departments to ensure that the placement, orientation and probationary period of new employees are strictly adhered to.
• Maintain and update Human Resource Information Systems (HRIS) in accordance with directives.
• Maintain/update employee records and files.
• Collate data on salary/benefits survey and provide support on related payroll functions.
• Conduct training needs analysis and coordinate/support in the administration and management of training programmes.
• Monitor and report on the activities of training providers and institutions.
• Provide support in the implementation of the Performance Management System.
• Provide support in the organization of staff durbars and other staff welfare activities.
• Prepare monthly/periodic HR Reports for review/approval by Superior Officer.
• Perform any other duty(s) assigned by Superior Officer.

JOB SPECIFICATION

Degree Holders:
Education/Experience
• Bachelors Degree in Human Resource Management or related field.
• Three (3) years relevant working experience.
HND Holders:
Education/Experience
• HND in Human Resource Management or related field.
• Six (6) years relevant working experience.

Job Title : Assistant Operations Officer
Department : Operations
Responsible To : Head, Door to Door

Main Duties:
1. Responsible for the company’s operations in the location(s) assigned to you.
2. Liaise with and ensure cordial working relationship with stakeholders.
3. To assist with the monitoring and supervision of all operational activities within the location(s).
4. Ensure that all the company’s operational equipment are properly maintained and used for the prescribed purposes only.
5. Ensure the availability of operational logistics.
6. Ensure timely submission of operational activity reports and any other reports that may be required by any office.
7. Ensure a massive reduction in the number of clients’ complaints through the provision of quality services.
8. Ensure a massive reduction of number of backlogs by clearing at least 90% of work in the assigned area by the close of every week through responsible supervision.
9. Ensure the generation of at least 85% f expected revenue from assigned area through effective collaboration with the drivers and janitors.
10. Report all issues on backlogs to the operations committee before the close of week.
11. Any other duties that may be assigned by your superior from time to time.

Job Title : Accounts Payable Officer

Immediate supervisor : Management Accountant

KEY RESPONSIBILITIES

1. Receive and review all invoices for proper documentation and approval prior to payment;
2. Classify and match invoices and set invoices up for payment;
3. Prioritize invoices in accordance with payment terms;
4. Prepare and process cheques for payment to creditors and operational and other expenses ;
5. Undertake monthly bank reconciliations;
6. Managing treasury functions, such as Cash Management (e.g. preparing weekly and monthly cash forecast) and Banking activities;
7. Make replies to all suppliers’ inquiries;
8. Reconciliation of suppliers statements and make corrections of discrepancies;
9. Prepare accounts payables ageing analysis;
10. Operate Petty Cash or Imprest System;
11. Processing and reconciliation of intercompany transactions with companies within the group;
12. Ensure accurate and appropriate recording and analysis of expenses using accepted accounting standards and company policies;
13. Keep and update General Ledger (Manual or with Accounting Software);
14. Posting and reconciliation of payroll related ledger accounts, including withholding taxes and pension deductions;
