August tends to be the month when everyone is either on holiday or wishing they were! But if you can find a moment between now and September, it is actually one of the best times of year to take a proper look at how your payroll is set up.

The first quarter of the new tax year is behind you, which means you have got enough data to spot whether anything is drifting. Tax codes that were never properly updated after April. New starters who joined in a rush and whose details were never fully sorted. Pension contributions that looked fine on the surface but haven't been checked properly since the year began. Salary sacrifice schemes are genuinely brilliant when they're set up correctly. Employees save on tax and NI. Employers save on NI contributions too. Everyone wins. The problem is that a surprising number of businesses are running salary sacrifice arrangements that aren't quite right, and don't know it.

Common issues include arrangements that aren't properly documented in a revised contract of employment, schemes that inadvertently push employees below the National Minimum Wage, and calculations that don't correctly reflect the employer's NI savings.

If your business uses salary sacrifice for pensions, electric vehicles, cycle to work, or childcare, it's worth making sure the setup is genuinely compliant.

Are your new starters being set up correctly from day one?

Spring and summer tend to bring a wave of new hires. And every new hire is an opportunity for payroll to go wrong before it's even properly started.

🌵Has the starter declaration been completed? Is the right tax code being applied? 🌵Has the employee been assessed for auto-enrolment and enrolled if eligible?
🌵Have you set up their student loan deductions correctly, if applicable?

Get any of these wrong in month one, and you're spending the next several months unpicking it, and so is your employee.

None of these are one-off cases. They come up regularly, and in most situations, the employer has no idea they were doing anything wrong..
Most employers would say yes to this without hesitating. But National Minimum Wage compliance is more complicated than it looks.

Here are a few scenarios that can catch businesses out. Salary sacrifice arrangements that bring an employee's effective hourly rate below the minimum. Unpaid time at the start or end of a shift that technically counts as working time. Deductions for uniforms or equipment that reduce pay below the threshold. Apprentices being paid the wrong rate for their age or stage of training.

None of these are one-off cases. They come up regularly, and in most situations the employer had no idea they were doing anything wrong.

We talk a lot about what payroll errors cost businesses: penalties, time, stress.

But we don't talk enough about what they cost the people on the receiving end.
