PA / Administrator - Administration - Nicosia – Cyprus
Dema insurance Agents & Consultants is currently seeking an experienced Secretary to join their professional team. Dealing with all aspects of secretarial duties you will be an integral part of their team. Main Duties and Responsibilities
• Greet and welcome guests as they arrive at the office
• Direct visitors to the appropriate person and office
• Answer, screen and forward incoming phone calls
• Ensure Reception Area/Conferences, Guests Offices are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
• Provide basic and accurate information in-person and via phone/email
• Arrange travel and accommodations
• Filing, photocopying, transcribing and faxing
• Letter writing
• Dealing with telephone and email enquiries
• Creating and maintaining filing systems
• Scheduling and attending meetings, creating agendas and taking minutes
• Keeping diaries and arranging appointments
• Organising travel for Directors
• Produce correspondence and documents and to maintain presentations, records, spreadsheets and databases
• Devising and maintaining office systems
• Liaising with staff and external contacts
• Ordering and maintaining stationery and equipment
• Liaising with colleagues and external contacts to book travel and accommodation
• Organising and storing paperwork, documents and computer-based information
• Photocopying and printing various documents, sometimes on behalf of other colleagues
• Delivering to the insurance companies the relevant payments and documentation when required as well as picking up any documentation from insurance companies that the Company collaborates with
• Making deposits at the relevant banks
• Visiting clients premises to deliver/pick up documents
• Attends to any other duties and assignments required by the Administration Manager.
Candidate Profile
• Proficiency in Microsoft Office Suite
• Professional attitude and appearance
• Solid written and verbal communication skills – both English and Greek
• Good communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills, multitasking and time-management skills, with the ability to prioritize tasks
• Experience in the same or similar position would be an advantage
• Able to work effectively individually or as part of a small team
• Flexible attitude, ability to perform under pressure
• Flexibility to work to the needs of the business when required
• Must have a valid drivers license and vehicle
• College degree / relevant Secretarial course would be highly advantageous.
